Assistant to the Dean

The Assistant to the Dean of the Mike Curb College of Entertainment & Music Business (“Curb College”) will provide direct administrative support to the Dean and will be responsible for the general administration of the Dean’s Office. The Assistant must have a track record of effective communication, collaborative work experience, and meticulous and proactive organization. 

Provide administrative support for the Dean of the Curb College, which includes managing the Dean’s schedule and calendar, making travel arrangements, assisting in preparation of presentations, screening and handling telephone communications, greeting and directing visitors, proactively anticipate needs, and challenges, and dealing with administrative problems and inquiries as appropriate.  Serve as a primary point of administrative contact and liaison for the Dean’s Office with other university departments and individuals, as well as external partners, institutions, and agencies, on a range of special issues, scheduling matters, and correspondence. This includes coordination, organization and communication of all meetings, retreats, and Advisory Board meetings on behalf of the Dean’s Office. Assistant to prepare meeting materials, plan hospitality where needed, and take meeting notes when needed. Serve as an ambassador and initial point of contact for Curb College guests, students, faculty, and staff, and work with the Dean’s Office to address issues as needed. Create, compose, and edit technical and/or administrative correspondence and documentation; screen and evaluate incoming and outgoing correspondence. Maintain Curb College email lists managed by the Dean’s Office.Develop important internal deadlines based on academic, performance, and event calendars, and maintain the master calendar for the Curb College. Organize processes for Annual Reviews and Tenure, Leave, and Promotions, and maintain all personnel files and documentation for faculty and staff (including attendance, sick leave, and other reports). Collaborate with Curb College faculty and staff, engage in staff development opportunities, and contribute to and participate in continuous improvement efforts. Produce and manage key Curb College events, such as Graduation, Graduate Hooding Ceremonies, and Annual Faculty & Staff Retreats. Other duties as assigned.
