Job Summary

The assistant to the Assistant Vice Provost for Enrollment Management and Executive Director (AVP/ED) of Undergraduate Admissions serves as an administrative partner providing executive-level support in a fast-paced, high-volume work environment. This position is integral to operations, assisting with calendar and meeting preparation, project management, travel coordination and expense reconciliation, and responding to emails on the AVP/ED's behalf. The assistant serves as a liaison to campus units, independently communicates and partners with internal and external constituents such as U-M schools and colleges, Government Relations, the President's Office, and others on admissions-related matters. 

As the chief undergraduate admissions officer, the AVP/ED is U-M's primary admissions representative throughout the state, nation, and world on undergraduate admissions matters.

Success in this role requires a high level of adaptability, proactive problem-solving, and the ability to anticipate the needs of the AVP/ED. This position will work onsite (in the office) Monday through Friday, 8 a.m. to 5 p.m. to ensure adequate support.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M's enrollment function to efficiently optimize students' experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff in support of the university's mission.

OEM comprises a dedicated team of more than 200 full-time staff members and up to 400 additional student and temporary staff and is structured in five operational units - the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. OEM strives to provide excellence in access and support to inspiring learners who will challenge the present and enrich the future.

Responsibilities*

Provides high-level administrative support to the AVP/ED. Manages confidential, mission-critical and complex projects; investigates and resolves potential problems on behalf of the AVP/ED. Partners with the leadership team as requested.  Manages, organizes, and maintains complex calendars and schedules appointments with internal and external constituents. Collaborates with OEM administrative assistants and administrative staff within Academic Affairs to arrange meetings. Assists with preparation and follow-up for meetings, including logistical support. Drafts and supports communication needs such as emails and presentations on behalf of the  AVP/ED. Prepares complex and sensitive correspondence and assists with speech preparation.  Anticipates issues and responds as appropriate on behalf of, or in collaboration with, the  AVP/ED. Maintains electronic and paper files. Coordinates domestic and international travel schedules, and reservation accommodations, including but not limited to hotels and transportation. Anticipates travel needs and fulfills change/cancellation requests in a timely manner.Coordinates arrangements, completes reports and travel reimbursement process. Reviews and reconciles travel expenses. Provides recruitment team program support for AVP/ED involvement. Develops and coordinates executive officer, faculty, and speaker invitations. Understands and supports application review cycles and processes. May track supporting documentation and assist with appeal communications with applicants, parents, alums, faculty, and other university officials. Serves as administrative liaison for special projects, committees, and external organizations.  Coordinates various workshops, conferences, and other programs sponsored by the Office of  Undergraduate Admissions. Fosters and maintains positive working relationships, responds to questions, and training needs. Provides backup coverage to the executive assistant for the Vice Provost for Enrollment  Management. Maintain considerable knowledge of the university's policies, protocols and regulations to provide guidance and support to the executive team, faculty, staff, students and external partners.Required Qualifications*

Bachelor's degree or an equivalent combination of education and experience.  5+ years of related experience supporting executive-level leaders. Expert-level proficiency in Microsoft Office Suite and Google collaboration toolsWorking knowledge of Zoom and/or other video conferencing tools.  Knowledge of higher education with respect to admissions activities and programs is a plus. Desired Qualifications*
