Assistant Office Management

 

in Berlin | from October 1st, 2025

in full-time (40 h/week) | initially limited for 2 years

 

 

About Us

 

Founded in 1933 at the call of Albert Einstein, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster. In 2016, IRC Germany was founded and is involved in the areas of education, economic wellbeing, and safety, legal protection, and empowerment throughout Germany.

 

The role will be part of the Operations/Facility-Team. The purpose of this role is to support the day-to-day office management in Berlin related to visitor management, occupational health and safety, facility management, shipment, and asset management.

 

 

Major Responsibilities

 

1 - Office Operations:

Support daily functions of the Berlin office, including welcoming visitors, booking meeting rooms, managing mail, phone calls, and supplies.

 

2 - Safety & Maintenance:

Report and follow up on safety or maintenance issues; act as Fire Warden and First Aider.

 

3 - Administrative Support:

Handle shipments, update inventory, label equipment, monitor shared inboxes, and manage the sending and storage of German program materials.

 

4 - Onboarding:

Assist with preparing materials and coordination for new staff onboarding.

 

 

Your Profile

 

 1-year professional experience in office management, logistics, or similar Experience in international/multicultural teams Front desk and general office environment experience Strong customer service skills German and English language skills at minimum B1-level according to the Common European Framework of Reference for Languages (CERF) Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint) Familiar with office equipment (e.g. scanner, copier) Able to work independently and in a team Good multitasking ability Experience in safety roles (First Aider, Fire Warden, etc.) are a plus
