Are you ready to Transform Facilities at JLL? We’re looking for an Assistant Facilities Manager on a large client account supporting our Global Real Estate & Facilities IFM team. You will help the FM team to oversee several client buildings managed by JLL.
Location: Cupertino, CA 94089Work Schedule: On-site, Monday-Friday, 8:00 AM to 5:00 PMTravel Requirements: 25% travel to other client sites within the bay area portfolio (travel will be reimbursed)Reporting To: Facilities ManagerEstimated Salary: $70,000-$85,000+

Reporting to the Facilities Manager and working as part of the overall Facilities Team, the Assistant Facilities Manager will manage a range of soft services and provide the necessary support to ensure the efficient and effective running of the site.
What your day-to-day will look like: Manage the team providing first line soft services to the site(s), including reception, mail operations, meeting & events, cleaning, waste & recycling, vending & food servicesMonitor and maintain office equipment and suppliesManage and maintain regular contact and meetings with relevant vendors - to report on issues, recommendations and cost estimatesWeekly walk-round with the vendor cleaning manager ensuring cleaning quality standards are maintainedManage Trouble Ticket (Remedy) requests (helpdesk) - interface with internal customersand action queries promptly in line with service level agreementsManage daily health & safety issues – maintaining regular scheduled meetings and records of the fire and safety teams/fire drills/safety equipment/trainingTravel/Visitors’ support – interface with locally approved hotels – assist Client global travel & hotel managers in information gathering and communicating up to date information to staff.Assist in the organizing of internal and external Client eventsManaging the quality of conferencing facilitiesManage food and kitchen facilities – provide direction to housekeepersRaise purchase ordersManage Wiki pages and other communication channels for the site(s)Deputise / provide cover for Building Operations Engineer / Facilities Manager when appropriateResponsible for all other duties and tasks as assignedRequired Skills and Experience:High School Diploma or equivalent OR successful completion of a 4+ year degree can be considered equivalent to work experienceTwo (2)+ years of proven work experience as an assistant facilities manager or coordinator in the commercial real estate management industry as a third-party provider, corporate, or as a consultantMust be located in the bay area (relocation assistance is not available for this role)Experience using Computerized Maintenance Management System (CMMS)Must have reliable transportation to drive to client buildings close by as neededExcellent customer, computer, managerial, verbal and written communication skills Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives Understanding of basic technical aspects of property (mechanical and electrical systems). Computer proficiency experience with Microsoft Office SuiteAbility to work independently with little supervision and effectively deal with stressful situations.
