About this opportunity:

 

Group Supply (GSU) within Business Area Networks (BNEW) is looking for a strong assistant to assigned to unit Senior leaders who will provide a high degree of administrative support and service. You will do this by using your passion for support and advice to help ensure productivity and efficiency for assigned Senior leaders. The role is based in in Sweden, Kista. Cooperation with other BNEW and GSU assistants will be an important part of the role.

 

What you will do:

 

•    Plan upcoming agenda, manage daily agenda, and organize internal and external meetings and workshops
•    Manage travel arrangements including expense reports for assigned GSU Senior leaders
•    Proactively monitor incoming issues on Senior leaders behalf and act where appropriate
•    Manage information to/from assigned Senior leaders and at some occasions support in creating business information, to direct reports and other key stakeholders
•    Act as an expert for the respective administrative IT systems as well as authorize e.g. orders, invoices in line with authorization policies and routines & handle/approve purchase orders/concur/e-forms etc.
•    Lead the administrative tasks for the unit in close cooperation with the other unit assistants
•    May in some cases take decisions on behalf of assigned Seniors Leaders and represent the units if delegated.

•    High level of comfort with multitasking, handling difficult situations with flexibility
•    Excellent collaboration skills and ability to interact with both internal and external stakeholders. Ability to act as business partner, able in analytical and critical thinking, priorities setting, execution and follow-up decisions. 
•    Very strong personal integrity and ability to handle sensitive and confidential information
Strong communication skills with fluency in English; proficiency in Swedish is meritorious.
•   Solution-oriented with a focus on support and problem-solving.
•    Proficiency in planning and organizing with an ability to simplify and improve daily routine.
 •   Confident in relationship, socializing and networking, customer relationship management, and showing emotional intelligence
•   Ability in negotiation, persuading and influencing
•   Resilient towards change. Positive to and able to drive change
