Asset Management and Engineering Team Coordinator

Role Overview

The Engineering Team Coordinator plays a vital role in ensuring the smooth operation of the Engineering team by providing administrative and technical support across multiple functions. This position serves as a key liaison between different engineering stakeholders, managing workflows and maintaining quality standards.

Key Responsibilities

Engineering Team SupportProvide day-to-day administrative support to Engineering team membersCoordinate meetings, document action items, and follow up on outstanding tasksManage communication between team members and other departmentsProgramme Lead SupportCapture and document remedial work orders with accuracy and attention to detailLog and upload work orders to CAFM (Computer-Aided Facilities Management) systemTrack status of remedial work requests from initiation to completionProject and B2IM SupportDevelop and implement processes to ensure timely and sufficient project document handover across the client's project teams and supply chain partnersLiaise with the client's PMO to understand programmes of work and pipeline projectsCreate project entries and raise associated work orders in the CAFM system for RSCP projectsFacilitate efficient information flow between project stakeholdersMonitor adherence to document handover processes and recommend improvementsQuality AssuranceConduct quality assurance checks of completed remedial works against specificationsDocument findings and prepare reports highlighting areas of compliance and concernRecommend process improvements based on QA findingsCompliance SupportAssist the Compliance Analyst with quality checks of PPM (Planned Preventive Maintenance) documentsEnsure documentation meets regulatory standards and internal requirementsHelp maintain compliance records and prepare for auditsAsset ManagementSupport the Asset Data Analyst in coordinating asset change requestsTrack asset modifications from request through implementationMaintain accurate records of asset changes and updates

Qualifications

Previous experience in an administrative or coordinator role, preferably in an engineering or facilities management environmentFamiliarity with CAFM systems and asset management principlesStrong attention to detail and organizational skillsExcellent communication abilities, both written and verbalProficiency in Microsoft Office suite and database managementBasic understanding of engineering documentation and terminology
