What does an Asset Coordinator do at Hogarth?

Hogarth is seeking a highly organized and detail-oriented Asset Coordinator to join our growing team. This role is crucial in managing both digital and physical assets, ensuring their proper storage, accessibility, and efficient workflow within the agency. The Asset Coordinator will support the adoption and proper use of asset management systems, manage asset workflows, and play a key role in maintaining accurate inventory of client product samples, studio equipment, and wardrobe.

This is an exciting opportunity to contribute to a dynamic production house and help shape our future in technology and asset management. The successful applicant will have practical experience working within an agency handling both physical and media assets and  demonstrable experience in production and post-production workflows. They will demonstrate the ability to critically dissect tasks and respond to both internal and external facing personnel with ease, professionalism and a positive attitude. 

Responsibilities

Asset Management:

Support the end-to-end lifecycle of company assets, including acquisition, distribution, usage, maintenance, and disposal. Maintain accurate records of all physical and digital assets, ensuring they are catalogued, labelled, and stored appropriately. Track the movement of assets such as hard drives, production studio kits, and client product samples to ensure accountability and minimise loss or damage. Conduct regular audits of inventory to ensure accuracy and compliance with company policies.

Inventory Management:

Manage and maintain inventory for:

Drives: Monitor the usage, storage, and return of hard drives, ensuring proper data handling and security protocols are followed. Production Studio Kits: Ensure all equipment is accounted for, functional, and ready for use by production teams. Coordinate repairs or replacements as needed. Client Product Samples: Track the receipt, storage, and return of client-provided materials, ensuring timely delivery and proper handling. Develop and implement systems to optimise inventory levels and reduce inefficiencies.

 

Inventory System Administration:

Utilize the Inventory system to track and manage asset workflows, inventory, and scheduling. Generate reports and provide insights on asset utilization, availability, and performance metrics. Collaborate with internal teams to ensure the Inventory system is used effectively and consistently across departments.

Collaboration & Communication:

Serve as the primary point of contact for asset-related inquiries from internal studio teams and client services teams. Work closely with production, operations, and IT teams to coordinate asset needs for projects and events. Communicate asset availability, status updates, and potential issues to stakeholders in a timely manner.

Process Improvement:

Identify opportunities to improve asset management processes and implement best practices. Develop and maintain standard operating procedures (SOPs) for asset handling, inventory management, and inventory system usage. Stay up-to-date on industry trends and emerging technologies to enhance asset management capabilities.

Reporting lines and key stakeholders

This role reports to the Asset Solutions Director, EU and will be based at one of 4 studio locations across London but predominantly Wenlock Studios. You will work closely with the Production, Studio and Technical teams.

Requirements

Proven experience handling media data and asset libraries. Strong knowledge of media file types and their purposes. Practical experience with Adobe Creative Cloud. Solid understanding of system infrastructures and networks. Experience managing data on servers, cloud archives, and storage solutions. Demonstrated experience providing support to end users. Exceptional organisational and inventory management skills. Experience with inventory tracking software or systems. Excellent communication skills (written and verbal). Goal-oriented with a strong team player mentality. Meticulous attention to detail and excellent administrative skills. Proficiency in MS Office, particularly Excel.
