You will be responsible for supporting the UK&I Archives Manager in providing a heritage service to MDLZ UK&I business stakeholders, including internal teams (CGA, Marketing, Sales, R&D, and Manufacturing) plus customers, trade associations and media; and to external heritage partners, including community groups, universities and the general public. You will also provide a well-read, daily Media Monitor tracking service to business leadership.

The Archives Assistant role is fundamental to the successful operation of the Archives facility and sits within the Corporate and Government Affairs (CGA) function.

The UK Archives received a substantial refurbishment and investment of £350,000 to mark Cadbury’s milestone 200-year anniversary in 2024. It is one of only two Mondelēz International archives in the world, and serves as a treasure trove of historical artefacts, documents and memorabilia that display the evolution of Cadbury from its humble beginnings to its status today as one of the world’s most beloved brands. The investment from Mondelēz International revitalised the archives, ensuring their preservation for generations to come.

The Archives goes beyond just telling the stories of our past.  The team hosted close to 100 visits in 2024 alone, including media, politicians, agencies and customers – an invaluable and unique opportunity to tell our story to stakeholders, positively influencing our reputation and commercial relationships.  Internal engagement is with all departments across MDLZ, especially Marketing, Sales and RDQ.

How you will contribute:

Major Activities - Archives

Protect and enhance Mondelez International’s reputation in the UK and Ireland by researching and responding to heritage enquiries, both internal and external

Assist with Archive visits by colleagues, trade customers, agencies, VIP visitors etc. Heritage information to be shared verbally with visitors and some formal talks also required.

Maintain relationships with key external heritage partners, including local universities, Bournville Village Trust and other local community groups.

Catalogue historical archive materials using web-based applications:

Create new catalogue records (using metadata descriptive tagging)

Digitise image files (adverts, photos etc.) and add to shared databases.

Maintain and update key product timelines, packaging evolution timelines and brand launch date files.

Source internal packaging and records to ensure Archives are kept up to date.

Sort, organise and re-house archive materials (physical labour required)

Assist with other Archive and CGA duties as required.

Major Activities – Political and Media Engagement, and Monitoring

Ensure the Archives are set up to host frequent visits from political and media stakeholders – in 2024 this included Sky Business News, BBC, The Observer, the West Midlands Mayor, Al Carns MP and Laurence Turner MP, plus Shadow Sec of State Victoria Atkins (2025)

Provide daily Media Monitor email alerts to the wider MDLZ business leadership team covering news and press articles on key topics of interest to support reputation monitoring and building.

Produce a Weekly News summary report every Friday.

Source and distribute articles requested by the business including corporate, trade and local news.

Other

Provide administrative support and build effective relationships with those you support.

Perform duties as needed related to budget, expenses and purchasing processes.

Answer calls and emails, responding to queries and requests appropriately.

Manage archiving and filing in line with statutory requirements and company policy.

Complete and update reports and maintain systems and data.

Undertake additional projects and tasks as requested.

What you will bring

Strong knowledge of company history, especially Cadbury.

Experience with giving talks and sharing information, both verbally and in written form.

Experience with working with members of the public and interest in dealing in a support manner with MPs and media.

Excellent organizational skills, accuracy, and attention to detail

Ability to work quickly, efficiently and meet project goals and deadlines.

Experience with database data entry and digitization.

Highly developed customer service orientation

Excellent written and verbal communication skills

Office (Excel, Word, PowerPoint)

Attention to detail combined with proactive attitude, very good communication and interpersonal skills

Excellent teamwork and able to anticipate needs and respond accordingly
