Job Title: AP Specialist - Vendor Maintenance Job Description
We are seeking an experienced Accounts Payable Specialist to manage and maintain vendor profiles in Oracle. You will work with a diverse range of over 10,000 vendors, ensuring compliance with accounts payable standards and adapting to changing daily priorities.
Responsibilities
+ Maintain communication with the Vendor Supervisor to align with department priorities.
+ Establish and maintain vendor profiles in a database of over 10,000 vendors.
+ Create and update vendors in a timely manner according to accounts payable standards.
+ Communicate with Corporate/Operational employees and external vendors regarding vendor status and verification processes.
+ Ensure Federal Tax ID names and numbers match IRS records when setting up new vendors.
+ Understand and adhere to IRS 1099 requirements.
+ Assist with patient refund uploads and correct errors in the vendor database.
+ Prioritize and adjust workflow as conditions change throughout the day.
+ Process vendor paperwork submitted to WebCenter daily.
+ Resolve vendor issues and complete all rejections before month-end close.
+ Review vendor setups weekly and maintain knowledge of IRS guidelines for 1099 reporting.
+ Update Oracle with valid Vendor Request form approvals.
+ Communicate and enforce Accounts Payable vendor policies to all customers.
+ Identify and resolve errors in the vendor database within 24 hours.
+ Inactivate vendors as needed and monitor vendor activity.
+ Review and update inactive vendors in AM2000.
+ Respond to customer inquiries within 48 hours.
+ Assist Accounts Payable personnel with procedures or system inquiries.
+ Identify and resolve vendor file problems within 24-72 hours.
+ Ensure Accounts Payable procedures for new vendor creation are regularly followed.
+ Maintain a professional demeanor with customers and coworkers.
+ Work overtime as needed to maintain timely and consistent attendance.
+ Adhere to company policies and information systems security procedures.
+ Adapt to changing environments to meet best practices and anti-fraud measures.
Essential Skills
+ Accounts Payable experience
+ Vendor setup and maintenance experience
+ High school diploma or GED
+ Experience with W9s
+ Experience with 1099 reporting

Work Environment
Join a team of four, collaborating with two members focused on payment processing and two on vendor management. The work environment is dynamic, with a mix of personalities ranging from loud and talkative to quiet and focused. Situated in a vibrant part of town, close to highways and excellent food options, you’ll experience a lively atmosphere with artists warming up nearby. Although there is little flexibility in the schedule, the team is understanding of occasional unexpected events. Job Type & Location
This is a Contract to Hire position based out of Greenwood Village, Colorado.
Pay and Benefits
The pay range for this position is $24.00 - $26.00/hr.
