Animal Health Coordinator
**The Position** The Animal Health Coordinator is responsible and accountable for providing administrative support to the Vice-President, Animal Health, and Director, Veterinary Affairs, assisting with regular activities, coordinating and organizing assigned projects and events , for organizing meetings and business logistics, and other assigned business relevant tasks. Additionally, support pharmacovigilance requirements by preparing PV reports, ensuring PV case closure (including financial support if appropriate). **Responsibilities** **Administrative support:** + Provide administrative support to VP,and the the Dir VA,assisting with regular daily activities and assigned tasks within in a fast paced, multi-task environment, by communicating with all levels of management both internal and external, as well as international. + Schedule and coordinate meetings and events: Coordinate animal health events, leadership meetings, leadership summits, sales meetings as requested, corporate visits as per the direction of the vice-president &/or the Director VA. This includes booking of venues, contract review and negotiations, invitations to attendees, planning and seamless execution of the meeting/event for attendees. Track, monitor and analyze costs. Partner with AH Finance Controller and as required for necessary accruals. Partner with project manager when necessary. + Documentation and follow-up: Taking, distributing and filing compliant meeting minutes, including follow-up on actionable &/or open items. Collection, organization, maintenance of materials, data, reports and other business relevant information, integrating routine scheduled clean-up. + Backup to species coordinator and project managers. + Performs all Boehringer Ingelheim business in accordance with all regulations and Boehringer Ingelheim compliance guidelines and procedures. When violations are noted/observed they are to be immediately reported to management. + Demonstrates high ethical and professional standards with all business contracts in order to maintain Boehringer Ingelheim's excellent reputation within the industry. + LOS administration/power-user for AH. Ensure proper assignment, documentation and follow-up of assigned trainings. **Pharmacovigilance:** + Triage of PV reports and other communications received and assignment to appropriate category or resource + PV Case creation and first line management (ensuring data completion, supporting documentation management, processing of financial support requests, contacting (by telephone and/or electronically) reporting clinics and/or relevant Animal Health team members) + Periodic processing of all pending financial support payments in GBS + Planning and participating to regular PV team meetings + Creating and submitting electronic weekly CFIA reports This position is **fully remote.** Employees in remote roles can live anywhere in Canada and are only required to visit the Burlington office a few times each year. **Requirements** + Diploma in office administration, marketing or business. + High detail orientation, high sensitivity to working with confidential information. + Strong working knowledge of Word, Excel, Powerpoint. + Strong aptitude for working with and learning evolving corporate systems software. + Proficient knowledge of accounting processes (expense reports, expenditure reports). + Strong ability/attention to detail for precise data entry for PV role. + Excellent interpersonal skills with ability to work harmoniously with diverse teams. + Organizational and planning skills, strong meeting coordination skills, acute attention to detail for careful review of contracts and negotiation ability. + Self-motivation to take initiative, work with others, strong written and oral communication, agility, to deliver consistent high quality results. + Multitask in a fast paced, changing environment. + Ability to influence without authority. + Agility, Accountability, Intrapreneurship. + Customer orientation/internal and external focus. + Planning and organization. + Communication. + Teamwork and cross functional collaboration. + Internal networking ability. **Total Rewards** We offer a competitive salary, generous amount of paid time off (vacation, personal days, contingency paid time off days for Long Term Contract Employees), comprehensive and flexible benefits plan, Defined Contribution Pension Plan with company matching of RRSPs, Employee and Family Assistance Plan, employee and leadership development programs, and programs to support overall health and wellness for employees.
