General Statement
The Office of Admissions is responsible for the marketing, recruitment, application processing, and orientation for new undergraduate students at Montana State University. The office also interprets and implements Board of Regents and Montana State University academic policies, processes 25,000+ undergraduate applications for admission annually, evaluates all undergraduate admission credentials for formal admission, and articulates and evaluates transfer credit.
Under the direction of the Associate Director of Admissions for Application Processing/Evaluation, the person in this position demonstrates leadership within the application evaluation unit while using a significant number of technological tools to process and evaluate applications and credentials, and to maintain, compile, and distribute related information as required.
Duties and Responsibilities
+ Receive, process, verify and maintain applications and credentials using a variety of technology tools.
+ Determine admissibility of applicants by evaluating transcripts and other supporting documentation according to Montana State Board of Regents and Montana State University policies.
+ Evaluate transfer courses and apply academic credit to fulfill MSU graduation requirements.
+ Accurately enter/verify admission information in the MSU database (Banner) and/or Admissions CRM .
+ Gather documents and make Residency determinations according to Board of Regents Policies.
+ Troubleshoot and solve problems with difficult applications and/or issues with technological tools required to perform job functions.
+ Inform applicants of admission status.
+ Act as an advisor for students, parents, outside institutions, and other university personnel regarding admission requirements, transfer of credit, and the applicability of that credit to fulfill University requirements.
+ Compile transfer guides for transfer of credit to MSU .
+ Prepare correspondence regarding admission requirements, admission status, transfer credit policies, and follow-up on applicants.
+ Maintain data for the Transfer Equivalencies link on the MSU website.
+ Process transcripts in Transcript OCR software for uploading to the MSU computer database (Banner).
+ Perform related duties as required.
Will also take responsibility in one or more of these areas:
+ Serve as Residency Specialist, providing guidance to all other evaluators as well as working closely with parents and students. Regularly confer with Residency Committees, Tax Specialist, and Legal Counsel regarding unique residency issues.
+ Provide co-lead support in training new and current evaluator staff regarding residency issues, transcript evaluations, and Banner Document Management ( BDM ) and cross-training support to entire Admissions staff.
+ Download and appropriately index transcripts from various electronic sources; serve as a resource to other staff regarding the “One MSU” initiative.
+ Serve as the lead for hiring, training, and supervising student employees for the application evaluation unit.
+ Track inventory for all flyers, documents, and folders included in new student acceptance packets. Assist in updating and creating the same on an annual basis.
+ Receive, process, reconcile and troubleshoot all application fee payments; manage cash/check/credit card deposits daily.
Required Qualifications – Experience, Education, Knowledge & Skills
+ Two years post-secondary education or two years administrative experience which includes highly detailed work assignments and extensive contact with the public or an equivalent combination of education and experience.
+ Demonstrated experience using database, word processing, spreadsheet, e-mail, and internet software as well as familiarity using reporting software, pdf management software and/or other technology tools.
+ Demonstrated experience designing, formatting, typing, and proofing business correspondence, forms, reports, etc.

+ Experience in a university setting.
+ Experience with Banner or a similar software package.
