Job Description:
Office Management
• Manage and maintain meeting rooms, including scheduling regular checks, coordinating usage, and ensuring readiness for meetings.
• Monitor the site meeting calendar to support effective room utilization.
• Handle daily mail operations: receive, sort, and distribute incoming mail; process and send outgoing mail.
• Order and manage office supplies to ensure adequate stock levels and cost efficiency.
• Support the administration of in-house benefits, such as coordinating the distribution of meal coins and other site-specific programs.
• Communication with external providers such as catering services, universities, and recruitment agencies
Site Communication & Coordination
• Draft and distribute internal communications on behalf of the HR team, including emails, newsletters, and event announcements.
• Coordinate appointments and site events, including health & safety briefings, town halls, training sessions, and other internal activities.
• Support communication-related projects such as the maintenance of SharePoint sites and enhancing the site's social media presence.
• Work closely with multiple departments to align and support cross-functional communication efforts.
Human Resources Support:
• Assist with recruitment coordination including interview scheduling, candidate communications, and liaising with hiring managers.
• Support the onboarding process and administrative procedures related to new hires. • Handle sensitive HR data and documentation with a high degree of integrity and confidentiality.
• Contribute to ongoing HR initiatives, projects, and continuous process improvements.
• Responsible for coordination and communication with external and internal partners on matters related to workplace health & safety protocols.
Requirements/Qualifications:
Qualifications and Experience
• 2–4 years of relevant professional experience in a similar administrative or HR support role
• Successfully completed a commercial training (e.g., kaufmännische Ausbildung) or an equivalent qualification

• Exceptional organizational and multitasking skills
• Clear and professional communication skills, both written and verbal • High level of discretion and respect for confidentiality
• Proactive mindset with the ability to work independently as well as collaboratively
• Comfortable working with a wide range of internal and external stakeholders
• Experience using social media platforms; ideally with content creation skills
• Excellent written and spoken German and English
• Proficiency in standard MS Office applications (Word, Excel, PowerPoint)
