Responsibilities NON APPROPRIATED FUNDS POSITION DESCRIPTION JOB TITLE: Administrative Assistant BUSINESS TITLE: Administrative Support / Recreation Assistant (Athletics) JOB SERIES: 0303 PAY LEVEL: NF-02 INTRODUCTION: This position is located within Marine Corps Community Services Division (MCCS), Semper Fit Branch, and Athletics Section. The program serves a diverse population of active duty, reserve, and retired military, their family members, civilians, and other authorized customers to include the local national community in and around the installation. This is a mixed position to perform as Administrative Support and Recreation Assistant under the direct supervision of the Complex Manager of a multi-faceted fitness, recreation, sports, and retail program aboard a Marine Corps installation. This incumbent will serve as both Administration Support and Recreation Assistant on a day to day basis. Assist the Complex Manager as needed by performing a variety of clerical functions as well as cover the front counter and martial arts room as needed. DUTIES AND RESPONSIBILITIES: Provides clerical support to ensure efficient office operations. Performs a variety of clerical and administrative functions, using judgment to answer recurring questions and resolve problems. Establishes and maintains a variety of files for easy retrieval. Reviews incoming correspondence and determines the action required and its priority. Routes and distributes mail to appropriate individuals. Reviews outgoing correspondence for accuracy in format, punctuation, spelling and grammar. Composes correspondence such as memorandums and letters. Establishes and maintains suspense dates to ensure that required actions and responses are made within deadlines. Maintains and orders office supplies. Prepares time and attendance data and submits them in a timely manner. Receives and directs telephone calls or visitors. Based on the general knowledge of the organization, refers telephone callers and visitors to appropriate staff or office. Personally answers routine, non- technical requests for information. Takes and delivers messages for staff members. Makes appointments and keeps appointment calendar. Types, edits and prints a variety of documents for the office staff, including correspondence, reports, memorandums, work requests etc. Determines the appropriate forms to be used. Consolidates information for various reports in accordance with established procedures and guidance. Ensures that all tenets of EEO and Safety Regulations are followed. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC REQUIREMENTS: Minimum of one year clerical experience such as managing files and records, preparing documents and correspondence, receiving visitors and telephone calls, etc. Must be able to attend and pass CPR and First Aid training. Must be able to accommodate a flexible work schedule including evenings, holidays and weekends. Must be able to perform prolonged standing, walking, reaching, lifting and carrying objects up to 45lbs independently and objects over 45lbs with assistance. QUALIFICATION REQUIREMENTS: Have a strong command of the English language to include written and oral skills. Working knowledge of general office administrative and clerical work and ability to interpret specific procedural guides such as instructions, manuals, established policies and procedures for assigned tasks such as filing, distributing mail, or ordering supplies, which are directly applicable to work. Working knowledge of Microsoft Word. Knowledge of fitness center and recreational operations, processes and procedures. Knowledge in the use and maintenance of fitness and recreational equipment. Knowledge of principles, concepts and techniques of property accountability, cash management and safety concepts. Must be able to complete and maintain Cash Handling Training. A valid Government Owned Vehicle (GOV) operator¿s permit may be requested of this position at the supervisor¿s discretion. Must be able to obtain and maintain a health card.
