Job Description
This role involves providing high-level administrative support to an executive director and their team, ensuring smooth operations and efficient management of time and resources. You will act as a liaison between the executive and various internal and external parties, handling correspondence, preparing reports, and coordinating meetings, appointments, and travel arrangements.
ResponsibilitiesMaintain the highest level of confidentiality regarding corporate and personal information.Partner with the executive to ensure efficient and effective time management.Serve as the executive’s liaison to various internal and external parties.Handle correspondence, prepare reports, and assist with creating presentations.Manage calendars for the Executive Director and their direct reports.Coordinate meetings, appointments, and travel arrangements.Ensure the executives’ preparedness for meetings and engagements.Assist with events such as staff meetings, all-hands meetings, off-sites, and team gatherings.Maintain and organize Outlook, communications, and folders as appropriate.Participate as an adjunct member of the executive’s leadership team.Optimize travel arrangements based on the executive’s travel needs and preferences.Manage complex itineraries and complete related expense reports.Coordinate interactions between the executive and employees when appropriate.Assist with special projects for the Business Office.Acknowledge the need for flexibility in scheduling across different time zones.Continuously seek process improvement to increase productivity and efficiency.Support onsite events when required.Anticipate the needs of the executive and team, addressing issues proactively.Essential SkillsAssociate’s degree or equivalent.3+ years’ experience as an executive assistant supporting executive leader(s).Knowledge of administrative procedures, software applications such as Microsoft Office.Excellent organizational skills, time management skills, and attention to detail.Excellent writing, editing, and proofreading skills.High degree of professionalism to maintain confidentiality.Ability to work collegially within a team environment in an open concept office area.Responsive self-starter who takes initiative in resolving issues or concerns.Proactively assess risk and resolve issues before they become problems.Experience working on multiple projects simultaneously while meeting deadlines.Additional Skills & QualificationsExperience in event planning and facility management.Proficiency in Microsoft Excel, PowerPoint, SharePoint, Word, Visio.Training coordination and business continuity/disaster recovery knowledge.Work Environment
The position requires working onsite currently 3 days a week, transitioning to 4 days onsite starting September 1. You will work in an open concept office area, collaborating within a team environment.
Pay and BenefitsThe pay range for this position is $22.00 - $23.00/hr.
