**Required Qualifications (as evidenced by an attached resume):**
Bachelor Degree (foreign equivalent or higher). In lieu of a Bachelor degree, an Associate degree (foreign equivalent or higher) with Four (4) years of full-time administrative experience may be considered. Two (2) years of full-time administrative experience. Highly proficient, professional experience in word processing, spreadsheet management, electronic messaging and/or internet applications (Microsoft Word, Excel, PowerPoint, Google Apps, etc.).
**Preferred Qualifications:**
Three (3) or more years of full-time administrative experience. Experience with research administration, budgeting, accounts payable/receivable and/or purchasing. Experience working with WolfMart, iLab, TMS, Oracle (RF Reporting), Business Intelligence, and/or Effort Reporting systems. Knowledge of IRB processes. Administrative experience in higher education and/or healthcare environment.
**Brief Description of Duties:**
The Administrative Staff Assistant will manage the pre-clinical animal MRI core using iLab based software. The incumbent will plan and analyze funding needs and will handle human resource recruitment and retention. The successful incumbent will have a high-degree of organizational skills, excellent analytical skills to make effective decisions. They will be able to work independently as well as part of a team with a collaborative approach to problem solving. They will prepare reports and meet periodically to update the Vice Chair of Research on all research activities ongoing in the department.
**Duties:**
+ Administrator for pre-clinical MRI in I Lab, prepare and track all requests and billing, closely monitor revenue and expenses in two S&F accounts. Renegotiate billing rates based on usage annually.
+ Handle all aspects of grant management including the IRB processes. Develop budgets and monitor expenses and balances in all externally funded accounts, assist with preparation of no cost extension requests and progress reports.
+ Prepare all requisitions for research employees using the TMS system as hiring manager. Complete hiring process through on-boarding. Monitor employees on sponsored funds and prepare change forms, ensuring continuity of salaries and appointments. Monitor salary offsets and balances in accounts for 50/50 appointed faculty.
+ Process travel arrangements/reimbursements for research faculty.
+ Responsible for certifying effort reporting on departmental dashboard.
+ Other duties as assigned.
**Special Notes:**
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
