Duties Description The primary responsibility of this position will be to serve as the lead assistant in programs and projects developed by or assigned to the Deputy Regional Director (DRD) for the Long Island Office of Parks, Recreation and Historic Preservation. Secondarily, this individual will maintain a high level of direct administrative support to the DRD and, as such, will manage incoming correspondence and read, digest, prioritize, and draft responses to hundreds of emails daily. Finally, this position will be involved in serving as the point of contact for numerous internal and external committees/boards the DRD participates in.Responsibilities include but are not limited to: manage and perform primary and secondary administrative functions for day-to-day departmental operations; process travel and invoices; assist with the development and implementation of operating systems; assist other executive and park staff when required. This individual will ensure task prioritization, perform research, prepare documents and presentations for meetings, and respond to non-stop demands and schedule changes as well as represent the DRD at meetings.Additional duties include but are not limited to: communicating and/or collecting region-wide information, deliverables and activities to internal and external partners; providing executive-level meeting support including scheduling, agenda preparation, recording and action item follow-up for specific regional initiatives; preparing email, routine correspondence, memos and reports; maintaining confidentiality regarding sensitive matters such as personnel and labor relations issues and contact with external groups.
Minimum Qualifications FOR PERMANENT APPOINTMENT VIA ELIGIBLE LIST APPOINTMENT OR TRANSFER:Candidates must be reachable from the current appropriate Civil Service eligible list or be eligible for 52.6 and 70.1 transfer in accordance with Civil Service Law.Note: The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.70.4 TRANSFER QUALIFICATIONS:At least one year of permanent or contingent-permanent qualifying service as a Grade 12 or higher, a bachelor’s degree** or higher, and a passing score on the Professional Career Opportunities (PCO) exam for the Administrative Specialist 1/Trainee 1. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered-in to the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status.
