The Administrative Service Representative serves as a customer service ambassador to all Sibley customers (staff, MD, patients and families) through demonstration of excellent customer service skills as outlined in Sibley’s Circle of Excellence. Supports the daily operations and activity flow of the patient care area by performing administrative functions and acting as a central source of information for staff, physicians, patients, families and other departments. Consistently demonstrates strong organizational, communication and time management skills that help to facilitate a smooth functioning of the unit.

Essential Duties & Responsibilities:

Customer Service

Projects a positive demeanor in all interactions with staff, physicians, patients, families, and other departments using Sibley’s Circle of Excellence Everyday Manners. Establishes a productive rapport with families and visitors; initiates contact and determines customers’ needs upon arrival to the unit. Responds to customer requests and initiates action to complete requests in a timely manner; keeps staff apprised of action and resolution. Directs patient/family and physicians concerns to the appropriate person. Provides service recovery within the scope of the role; seeks nurse manager direction when issues are unresolvable or beyond the scope of the role. Answers department phones in a timely manner, using Sibley’s Circle of Excellence behavior (identifying self, smile behind voice, etc.) and clearly relays messages. Consistently communicates in a respectful manner that promotes the privacy of patient information and adheres to the privacy policies of Sibley Hospital

Unit Operations

Serves as the unit point-of-contact for staff, physicians, students, patients, and visitors. Updates unit white board with pertinent information for each day (assigned personnel, anticipated admissions and discharges, staff assigned wireless
numbers for shift, etc.). Maintains nurses’ station clean and neat at all times, devoid of clutter and outdated materials. Consistently facilitates communication between staff, physicians, and other members of the healthcare team in a timely manner. Keeps all members of the healthcare team informed of any changes in patient schedules or unit activity. Calls the appropriate emergency response teams such as Code Blue, Rapid Response, and Stroke Response. Assumes responsibility for maintenance of environment (stock rooms, clinical equipment rooms, etc.) and follows up on malfunctioning or broken clinical
equipment on the unit (i.e. electronic blood pressure monitors, glucometers, bladder scanners) Accepts additional responsibilities to support the team/co-workers, and performs other tasks as assigned (i.e. lab specimen transport, blood retrieval, schedules follow-up appointments for patients as requested) Consistently demonstrates flexibility in re-prioritization of tasks/work to provide support as needed. Willingly floats and accepts assignments related to patient care department. Serves as a resource to new staff and other healthcare colleagues. Seeks opportunities for learning beyond own work environment and incorporates into practice any new knowledge or skills acquired.

Information Management/Electronic Medical Record (EMR)

Assigns new admissions to a select bed upon arrival to unit, constructs initial EMR based on understanding of the patent’s conditions and needs, taking direction from nursing staff. Enters information into EMR accurately and timely, per established standards.
Anticipates need for printed documents based on clinical situations (i.e. transfer to another unit/discharge, etc.). Prepares unit for scheduled downtime procedures and evaluates the accuracy of the information; reports any discrepancies to appropriate personnel. Serves as a resource for the EMR to staff personnel. Prints armbands as requested, ensuring correct information for correct patient. Prepares discharge record (paper) for pickup by Health Information Management personnel. Prepares needed documentation for patient transfers in the EMR. Enters data into EMR system to request room clean in a timely manner. Takes corrective action when problems occur with the EMR system by contacting appropriate help desk personnel; follows through to ensure resolution of problems. Ensures unit IT equipment (desk top computers, computers on wheels,
printers/fax machines, wireless communication devices, communication devices for interpretation) is functional at all times; reports malfunctioning of equipment to appropriate departments; follows up on repair status at intervals. Ensures batteries for computers on wheels are changed with established
frequency to maintain optimal function.

Additional Duties & Responsibilities:

Assists the Nurse Manager in data collection as assigned. Identifies potential opportunities to improve processes and related workflows. Assists the Nurse Manager with management of unit costs and intervenes to
correct or prevent use of costly or excessive quantity of materials. Serves as a mentor to new Administrative Service Representatives. Attends regularly scheduled unit and Administrative Service Representative
meetings and contributes to discussion by sharing experiences and ideas for process improvement. Follows all Infection Control and Safety procedures regarding hand washing;
encourages others to do the same when observations indicate otherwise using diplomacy and courtesy. Assists the Nurse Manager and staff with minimizing noise to promote a healing environment.

Minimum Requirements:

Current CPR Certification required. Ability to work effectively with all internal and external customers. Ability to perform basic PC Skills and to maintain all office equipment i.e.;
computers, printers, fax and telephones. Ability to think clearly, plan effectively, coordinate multiple tasks and
communicate to all members of the healthcare team. Ability to maintain a mature and positive attitude in a stressful environment. Conforms to established dress code

Salary Range: Minimum 17.76/hour - Maximum 28.48/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.
