Job Purpose:
To provide high-quality administrative and programmatic support to the Strategy & Integrated Programmes Department in the areas of planning, coordination, implementation, monitoring, evaluation, learning, and research (MELR).
The role ensures effective documentation, internal and external communication, coordination of events, and follow-up on departmental priorities.
It contributes directly to the achievement of the department’s strategic objectives and the overall goal of improving the well-being of children, families, and communities served by World Vision Ghana.
Key Responsibilities:
Planning and Coordination
Assist in preparing, collating, updating and monitoring the calendar of events for all units within the department at the National level (key programme activities, meetings, workshops, external stakeholder engagements and other fora). Prepare (agenda and logistics coordination) and document (minutes/reports writing) all joint Integrated Programmes Department meetings, workshop, trainings. Support in development and monitoring of departmental action plans, and key deliverables as assigned by the Director. Support the Integrated Programmes Department in preparing and organizing field visits/filming visits of Support Offices colleagues, donors and others partners.Liaise with other departments/units to facilitate arrangements for key events, and support as required by the Integrated Programmes Department/Director.Communication and Reporting Impact
Follow-up with unit heads and support in compilation of the Integrated Programme Department Monthly Management Report within stipulated timelines Process and document programmes/correspondence related communications (courier) addressed/assigned to the Integrated Programmes Director that require attention and action.Assist all Reporting Processes within the NO (Annual reports, Child Wellbeing reports, Board Reports, etc.)Monitoring, Evaluation and Learning
Support in planning and coordinating field monitoring to assess progress of programme/project implementation. Support in tracking follow-up actions and recommendations emanating from field monitoring.Support in undertaking learning events for units, programs and projects.Programme and Budget Management Support
Support in the development of procurement plan for the integrated functions of the department and implementation of the plan within departmental budget limits.Support in Programmatic budget tracking at the national level, and liaise with key stakeholders on budget management.Support in documentation and tracking of follow up actions of key units within the department in relation to the NO Budget Management Plan (BMP), to ensure compliance to the BMPOther

Required Education, training, license, registration, and/or Certification:
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
A Bachelor’s degree in any of the following fields: Social Sciences, Development Studies, Development Management, Business Administration, Public Administration, Project Management, or a related field.A Master’s degree in a relevant field is an added advantage.Additional certification or training in Monitoring & Evaluation, Project Management (e.g., PRINCE2, PMP), or Budget/Financial Management is desirable.Required Professional Experience
At least 2–3 years of relevant work experience in administrative or programme support roles within a development, humanitarian, or non-profit organization. Demonstrated experience in supporting programme planning, coordination, and reporting processes. Experience with monitoring and evaluation (M&E) processes, including tracking action points and supporting learning activities. Familiarity with budget tracking and procurement processes, including working with finance and operations teams. Strong skills in document preparation, meeting coordination, and minute/report writing.Ability to work with cross-functional teams and manage multiple priorities in a fast-paced environment.Proficiency in the use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools for project documentation and coordination.Preferred Experience, Knowledge and/or other Qualifications:
