**Administrative Office Coordinator – Host Home Program**
**Location** **:** South Austin, TX (Westgate Blvd, Austin, TX 78745)
**Schedule:** Monday–Friday, 8:00 AM–5:00 PM (1-hour lunch)
**Pay Rate** **:** $18/hour
**Your Role**
As our **Administrative Office Coordinator** , you'll be the backbone of our Host Home Program, ensuring smooth operations and providing vital support to our team. Your responsibilities will include:
+ Greeting visitors, answering calls, and creating a professional, welcoming first impression
+ Providing ongoing communication with **host home providers**
+ Performing **scanning and filing** duties for 75+ individuals' trust fund documents
+ Managing onboarding for new employees
+ Maintaining both physical and digital filing systems
+ Supporting administrative staff in **payroll, invoicing, accounts payable, and reporting**
+ Assisting with **HR functions** like interviewing, hiring, evaluations, and recordkeeping
+ Coordinating building maintenance, purchasing, office equipment, and lease/space planning
+ Organizing department meetings, trainings, and ensuring staff receive ongoing in-service instruction
+ Serving as department **timekeeper**
_This is a_ **_fast-paced_** _role with multiple expectations and deadlines. The ideal candidate must be_ **_flexible_** _throughout the day, remain fully engaged during the 8–5 shift, and limit personal phone use._
**Qualifications**
+ Associate degree in a related field OR 2–3 years of relevant experience
+ **Proficiency in Microsoft Excel, Outlook, Word** , and other office software
+ Strong organizational skills and attention to detail
+ Ability to multitask and meet firm deadlines
+ Excellent verbal and written communication skills
+ Responsible, reliable, and compassionate approach to your work
