Administrative Coordinator (Part-Time)
Job Summary:

The Facility Asset Management (FAM) project team manages construction projects across Walt Disney World. The Administrative Coordinator is part of the Controls team, which provides general administrative and project support to the entire organization. This hourly role supports the coordination, implementation, execution, and control of the department’s project management systems and processes, ensuring consistency with department strategy, commitments, and goals. This support includes both tasks that you will “own” and tasks that you will assist others with. The position requires a high level of interaction with others and the ability to build and maintain solid inter- and intra-team relationships.

This Part-Time role will report to Manager, IFP, Strategic Initiatives, & PM Information Systems.

Responsibilities

Assist the Project Controls Team by drafting and/or reviewing SOG and training documentsSupport training of new hires and internsSupport the system and process experts in the organizationPerform tasks on the Admin Help Desk with troubleshooting SAP purchase orders and commitmentsSupport the PMWeb Help Desk with tickets related to project documentation (including commitments, purchase orders, applications for payment, invoices, etc.) in the project management system (PMWeb)Assist with new processes that support our strategic goalsAssist with new strategies and solutions that use technology to maximize efficiency

Basic Qualifications

Prior work experience in an administrative or support roleProficiency in Microsoft Office (Outlook, Excel, Word, and PowerPoint)Demonstrated strong organization and follow-through skills with attention to detailAbility to multitask and prioritize deadlines/deliverables, and respond to competing prioritiesSharp communication skills, verbal and written, and the ability to interact with all levels, including executivesA positive outlook and a can-do attitudeSelf-starter with the ability to anticipate needs, take initiative, and proactively problem-solve

Preferred Qualifications

Familiarity with the FOS organizationFamiliarity with SAP WorkplaceExperience managing discipline interfaces during project phasesKnowledge of project management processesKnowledge of construction and project management processes and purchasing/contract managementExperience with Project Management System (such as PMWeb, Microsoft Project, Jira, )Knowledge in Excel (such as Pivot Tables, Charts, Graphs, VLookUp, SumIf)

Preferred Education

College degree (AA or BA/BS)
