What We Want We are seeking a detail-oriented and proactive Administrative Coordinator II to support our Research Infrastructure and Operations Support Team. The ideal candidate will possess strong organizational and communication skills, with the ability to manage complex calendars, coordinate financial and administrative tasks, and maintain critical research infrastructure databases. They should be adept at multitasking, comfortable working independently, and capable of exercising sound judgment in a dynamic academic and research environment. Experience in customer service, event coordination, and familiarity with university systems is highly preferred. Qualifications Required Education and Experience + Bachelor's degree or equivalent combination of education and experience. + Three years of experience in office administration. Required Knowledge, Skills, and Abilities + Ability to multitask and work cooperatively with others. + Knowledge of word processing, spreadsheet, database, and presentation applications. + Interpersonal and communication skills. + Planning and organization skills. + Ability to effectively communicate both orally and in writing. + Ability to positively and professionally interact with clients and staff. + Excellent communication and presentation skills. + Strong interpersonal and organizational skills. + Working knowledge of office software programs. + Ability to orally comprehend and express information and use inductive and deductive reasoning. + Ability to positively and professionally interact with clients and staff, groups of various sizes. Preferred Qualifications + Calendar Management. + Customer Service experience. + Event management or support experience. + Ability to cultivate and maintain professional working relationships with people of various scientific backgrounds. + Familiarity with academic and research environments. Responsibilities 1) Financial/Administrative Support + Manages the Associate Vice President’s calendar. + General programmatic support, including but not limited to: + Material orders + Submission of receipts and Laserfiche forms + Account support (invoicing/coordination) for liquid nitrogen service + Assist with building access requests, mailing list management, and removal of former employees who should not have access to buildings or vivarium. + A ssist and provide backup support to CPI Coordinator for meetings, events, and publication/distribution of the newsletter and rule reviews. 2) Support for Research Infrastructure database + Manages and maintains contact information for each lab (maintaining the best point of contact annually). + Managing the annual input of information from each lab, including but not limited to: + Criticality index + Survey photos + Equipment use (shared or not) + Room numbers and PI occupant confirmation + Monitors data feeds and exception reports for FAMIS file errors. + Assists with efforts to intake insurance coverage information for equipment in each lab stored in the database. 3) BBA Lease Support + Creates lease documents. + Serves as liaison to the Research Enterprise Business Services (REBS) representative. + Provides onboarding for new tenants (NetID creation, parking, IDs and building access). 4) ILSB/TIPS Room Reservations + Manages room calendars for internal/external event requests. + Coordinates rooms and event space support needs with university stakeholders.
