Job Title Administrative Coordinator I Agency Texas A&M University Department Mathematics Proposed Minimum Salary Commensurate Job Location College Station, Texas Job Type Staff Job Description Glimpse of the Job Works under general supervision and provides administrative support for the Mathematics Department Head office to include the exercise of discretion and independent judgement with respect to matters of significance. Opportunities to Contribute: + Oversee planning and execution of administrative operations. + Maintain daily office calendar and appointment monitoring. + Review and monitor project and program timelines and proactively identify issues. + Coordinate office records retention and maintain reference materials. + Coordinate inventory and maintenance of office supplies, faculty workstations, and equipment. + Coordinate logistical arrangements for travel, meetings, and events. + Develop, maintain, and provide technical information regarding administrative office procedures. + Assist in establishing procedures to ensure compliance with regulations. + Monitor and ensure compliance with office policies and procedures. + Assist Faculty and Department Head with annual reporting through the Interfolio Faculty 180 system. + Process and track Immigration employment paperwork for J-1 cases. + Serve as backup to process H-1B and permanent residency cases. + Process, route and track necessary paperwork for research positions. + Serve as primary administrative support to Department Head suite. + Serve as backup to the Mathematics Teaching Operations office. + Provide administrative support for executive staff and various team members. + Coordinate meetings, conferences, and special events. + Assist with content and maintenance of office website. + Provide support for exam processing and assessment platforms. + Assist with providing faculty, staff, graduate students and visitors building and room access. + Provide support to Administrative Coordinator I in the Department of Mathematics Teaching Operations suite. Qualifications: + Bachelor's degree or equivalent combination of education and experience. + Two years of related office administration experience. A well-qualified candidate will also possess: + Ability to multitask and work cooperatively with others. + Knowledge of spreadsheet, database, and presentation applications. + Interpersonal and communication skills. + Planning and organization skills.
