Job Description
Purpose:
The Administrative Coordinator I works under general supervision and provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance
Responsibilities:
+ Provide administrative support to faculty, including preparing letters, memoranda, manuscripts, flyers, brochures, reports, and other documents in final format.
+ Compose, modify, edit, and proofread correspondence, publications, presentations, and communication materials.
+ Create and maintain departmental databases for student records, faculty records, and other data as needed.
+ Coordinate travel arrangements, prepare itineraries, and manage logistics for faculty, distinguished visitors, and faculty candidate interviews.
+ Assist with the faculty search process for Tenure-Track (T/TT) and Academic Professional Track (APT) positions, including coordinating interview schedules and providing committee support.
+ Manage departmental committee logistics, including scheduling, meeting preparation, and minute-taking.
+ Handle JCAIN and conference room reservations, including set-up and logistical arrangements for meetings and events.
+ Maintain and order departmental supplies; oversee inventory and supply areas, including the kitchen, mailroom, supply closet, and shared spaces
+ Process requests for faculty textbooks.
+ Process requests for copies, printing, binding, and scanning; prepare slide presentations as needed.
+ Maintain confidential records, including research documents, class tests, and personnel files.
+ Support onboarding of new employees, including office set-up and orientation logistics.
+ Manage departmental Emburse transactions on behalf of the Department Head (DH).
+ Coordinate distinguished visitor itineraries and assist in hosting visitors.
+ Other duties as assigned
What is needed:
+ Bachelor's degree or equivalent combination of education and experience.
+ Two years of related experience.
Work Location:
+ Main Campus – College Station, TX.
+ Some positions may have potential for a flexible work schedule or location
Salary Range:
+ Commensurate
