Administrative Coordinator - Facilities Management **POSITION DETAILS** The College of Staten Island (CSI) is a City University of New York (CUNY) senior College organized around two academic divisions and three schools, with over 10,000 students. Reporting to the Confidential Executive Associate, the Administrative Coordinator: + Serves as the primary point of contact for the Division, handling all incoming phone inquiries with professionalism and ensuring prompt resolution of questions and concerns. + Assists in gathering content, drafting sections, coordinating submissions, formatting, and distributing the Division's quarterly newsletter to keep stakeholders informed of key updates and developments. + Organizes and manages logistics for Division meetings, including scheduling, preparing agendas, and taking detailed meeting minutes for accurate documentation and follow-up. + Oversees and coordinates training sessions for Federal Work Study (FWS) students, ensuring compliance with program guidelines and supporting their professional development. + Acts as the primary requisitioner for all Trades Departments, entering, tracking, and processing requisitions through the CUNYBuy system while ensuring adherence to financial policies and procedures. + Assists in managing timekeeping functions for over 60 staff members by processing time punches, administering annuities, calculating overtime and holiday pay, managing leave balances, and ensuring accurate and timely payroll processing. + Utilizes the Archibus system to enter, track, and close work orders, ensuring efficient workflow and timely completion of maintenance tasks. + Performs other duties as assigned to support the department's objectives and contribute to the Division's overall efficiency. **QUALIFICATIONS** Bachelor's Degree required. Preferred qualifications include: + 1+ year(s) experience in budget administration, including invoice processing, expense tracking, and fiscal reporting. + 1+ year(s) experience managing office operations, including scheduling, staff assignments, and information distribution. + Strong written and verbal communication skills for diverse audiences. + Ability to research, analyze, and present information using technology to support decision-making. + Excellent organizational skills with the ability to coordinate multiple projects and meet deadlines. + Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems. **CUNY TITLE OVERVIEW** Supports projects, initiatives, and activities that impact an academic or administrative department. - Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. - Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. - Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. - Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. - Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. - May supervise office staff and student workers. - Performs related duties as assigned.
