We have an outstanding career opportunity for an Administrative Coordinator to join a leading Company located in the Raleigh, NC surrounding area.
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our Raleigh team. This role will provide critical administrative and operational support to ensure smooth day-to-day business operations. The ideal candidate will be proactive, adaptable, and skilled at managing multiple priorities in a fast-paced environment, while demonstrating strong communication and organizational skills.
Responsibilities:Answer and direct incoming phone calls to the appropriate team members.Manage office operations, including ordering and maintaining office supplies.Coordinate technician training sessions, including scheduling, setup, and record-keeping.Schedule and track company vehicle maintenance to ensure compliance and readiness.Organize and maintain customer contract records; ensure contracts are linked to the appropriate projects in the system.Support scheduling of technicians and site visits.Attach and organize drawings, photos, and documentation within service tickets.Receive, log, and track incoming materials.Ensure service ticket notes are entered accurately and communicated to the proper team members.Schedule and coordinate customer visits in partnership with the primary administrator and leadership team.Collaborate closely with internal stakeholders, including reporting directly to management.
Basic Hiring Criteria:Proven experience in administrative, coordinator, or office support roles (experience in technology, service, or construction industries preferred).Strong organizational skills with the ability to manage multiple tasks and deadlines.Excellent verbal and written communication skills; professional and customer-service oriented.Proficiency with Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint).Experience with scheduling software or ERP/CRM systems.Detail-oriented with strong follow-through and problem-solving skills.Ability to work independently as well as collaboratively within a team.
