As an Administrative Coordinator your Responsibilities will include but are not limited too: • Manage and coordinate the Executive Director's calendar, including booking travel arrangements and handling logistical details. • Process incoming and outgoing mail while responding promptly to student inquiries. • Organize front desk coverage schedules and ensure contracts are tracked through the approval process. • Oversee payroll activities, including tracking and submitting timesheets for student staff. • Maintain inventory levels by ordering supplies and managing expense reporting. • Submit and monitor maintenance requests to ensure timely resolutions. • Collaborate with HR to facilitate onboarding processes for student staff. • Draft and distribute communications, liaise with vendors, and build relationships with internal and external stakeholders. • Assist with testing administration, including scheduling, handling excuses, and managing absences. • Coordinate room reservations, submit work orders, and provide support on additional administrative tasks as required. Requirements The ideal Administrative Coordinator will have: • At least 2 years of experience in an administrative role within a fast-paced environment. • Strong verbal and written communication skills. • Familiarity with higher education settings is preferred. • Proficiency in both Office Suite and Google Suite is required. • Experience with Banner software is highly desirable. • Demonstrated ability to stay self-motivated and maintain professionalism under pressure. • Exceptional organizational skills with a tech-savvy approach to problem-solving. • Active listening skills and a positive, proactive attitude.
