Job SummaryProvide high-level administrative support and expertise to the Weiser Center for Europe and Eurasia; Center for Russian, East European, & Eurasian Studies; Center for Armenian Studies; Center for Emerging Democracies; and Copernicus Center for Polish Studies staff and directors during an exciting time of growth and expanded initiatives with our dynamic and positive team.

Responsibilities*Serve as front line office management. Maintain telephone and mail triage, directors' calendars, and specialized e-mail lists (including MCommunity). Provide expert administrative support to the directors and manager.
Assist with programming initiatives. Schedule meetings, plan conferences and other events (e.g., faculty meetings, student orientations, annual receptions, etc.) as needed.
Organize and maintain contact database for all centers, run reports, and oversee mailings (e.g., event calendars, Annual Report, and development mailings).
Prepare publicity such as MailChimp emails; respond to phone and email informational requests. Oversee 5th floor office spaces including organization, tracking office supply inventory, ordering supplies, and identifying space needs and efficiency recommendations.
Maintain Standard Operating Procedure Documents and oversee yearly review and updating process
Oversee hiring and supervision of student support staff, as required, including oversight of student staff schedule, onboarding, training, daily work assignments, time card approval, and regular feedback.
Serve on facilities and emergency response committees for Weiser Hall (50%)
Administrative Program Support:
Coordinate with LSA Finance and HR and Shared Services Center. Provide assistance with travel and logistics for faculty and staff as needed. Make travel and logistical arrangements for guest speakers, including international VIPs, Weiser Postdoctoral Fellows, Professional Development Award recipients and other international visitors.
Support events (prepare guest lists and invitations, catering, room scheduling, etc.). Interface with scholars and dignitaries, periodically acting as a welcoming, professional face of the centers. Some evening and weekend work may be required.
Work with programmers on publicizing events (promotional materials, e-mail, flyers, and invitations). Prepare and execute mass mailings and other high-visibility communications. (30%)
Advancement Support:
Support centers' advancement events (prepare guest lists and invitations, catering, room scheduling, etc.).
Process gifts and serve as the centers' administrative liaison to LSA's office of Advancement. Coordinate with LSA Advancement on gift processing, database updates, and mailings and solicitations (10%)
Grant Data and Reporting Support
Assist with student report outreach, tracking, and compliance for grants and fellowships
Monitor and maintain Faculty and Alumni data; complete information requests and organization as needed to support applications for major federal grants.

Additional InformationThe salary range for this position is $46,800 to $58,600, please note a higher salary may be offered for well-qualified candidates.
This is a hybrid work position, with at least 3 days onsite and 2 remote during the academic year.
