The Administrative Coordinator is responsible for performing operational support duties of the Facilities Department. Assists the VP Property Management as directed; ensures that all facilities, properties and office service functions operate effectively and efficiently; processes requests from branches and departments to ensure requests are completed in a timely fashion. Perform a variety of routine daily tasks; reviews and prepares reports and correspondence; participates in special department projects.
RESPONSIBILITIES:
• Responsible for setting own priorities and organizing the administrative workload for assigned area of responsibility.
• Process maintenance requests received from management and branch staff to ensure requests are received in a timely manner. Manage requests utilizing the Service Channel portal.
• Manage all aspects of document shredding.
• Responsible for updating and maintaining vendor database and files.
• Responsible for tracking and maintaining vendor contracts and work closely with Vendor Management to ensure all contracts are current and consistent.
• Responsible for updating and maintaining property management database.
• Review invoices to validate services and contractual obligations. Ensure quality, maintenance, and performance standards are maintained.
• Explore, identify and participate in initiatives, processes and procedures to improve operational efficiencies while assuring quality within United Bank policies; suggest recommendations as appropriate.
• Interact with various internal and external customers to propose and implement solutions to problems associated with assigned work activities; seek guidance as necessary.
• Conduct on-site surveys for our branches and buildings to ensure a pleasant customer and employee experience; corrects issues as required.
• Manage trash service, office cleaning, specialty cleaning and evaluate improvement initiatives; may and beverage services.
• Manage all aspects of office and furniture moves to include in opening and closure of all branch locations.
• Update Support Services directory on the Intranet.
• Content Management of the Facilities “S” drive.
• Maintain filing systems to include filing.
• With quality of work and customer response being the primary focus, ensures that all repair and maintenance requests are completed in a timely and efficient manner.
• May conduct research, compile data, and prepare papers.
• Perform specialized work assignments and will maintain files and reports as required.
• Assist with special projects as assigned.
SKILLS/QUALIFICATIONS:
• High School Diploma or equivalent is required
• Minimum of three (3) years of administrative support working experience; banking background a plus.
• Excellent interpersonal, oral and written communication skills and, strong work ethic is required.
• Knowledge of office equipment functionality is required
• Overall understanding of financial industry preferred - proficiency with AvidAscend highly desired.
• Proficiency in MS Office Suite including Word, Excel and PowerPoint required, PeopleSoft skills a plus
• Excellent customer service skills required
• Ability to work independently and as part of a team
• Strong organizational time management skills with ability to meet deadlines
• Ability to take initiative, work independently, and exercise judgment and discretion
• Ability to represent the bank in a professional and courteous manner
