Administrative Coordinator

The Administrative Coordinator will provide global support to leaders and their team members in handling of high volume of administrative task requests, requiring appropriate prioritization to complete.

Providing extensive calendar support to leaders, requiring prioritization of multiple calendars with effective communication across various stakeholders throughout the organizationHandling of travel arrangements, worldwide and associated formalities such as obtaining visas, letters of invitation to embassies - hotel, rental cars, flightsExpenses claims in ConcurSupporting business/functional teams in organizing team meetings, workshops, and events, both virtually and in-personAssisting with various projects, including compilation and formatting of documents and meeting materialsSet up and maintenance of MS TEAMSCreating purchase orders in the system for service providers and approving invoices for paymentRegularly interacting with internal and external contacts to coordinate business needsPerforming other administrative duties as assigned

You will be a great fit if you have:

Minimum of 5-year experience in administrative supporting functionsBSc/MSc degree or equivalent work experience Experience working in multinational companies and a highly matrixed environmentFull comprehension of office management systems and proceduresExcellent knowledge of MS Office 365High-level verbal and written communication skillsProficiency in EnglishAbility to multitask and prioritize daily workloadExemplary planning and time management skillsMaintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with colleagues and other stakeholdersAbility to work in a team environment and collaborate with peers.Strong communication skillsAbility to maintain high level of confidentialityOpenness to challenges and eagerness to learn new thingsPassion for continuous improvement
