Description
We are looking for an experienced Vendor Coordinator to join our team on a Contract to permanent opportunity basis in New York, New York. In this role, you will oversee vendor onboarding, compliance management, and procurement system workflows, ensuring seamless operations within a dynamic real estate and property environment. This position requires a proactive and detail-oriented individual with a strong background in vendor lifecycle management and procurement systems.
Responsibilities:
• Manage the entire vendor onboarding process, ensuring timely collection and review of required documentation, such as W-9 forms and insurance certificates.
• Act as the primary point of contact between vendors and internal teams, including procurement, legal, insurance, and accounts payable.
• Maintain vendor compliance by monitoring documentation statuses, tracking expirations, and ensuring adherence to internal policies.
• Oversee vendor profiles and procurement workflows within enterprise systems such as Ivalua and Yardi, ensuring data integrity and accurate reporting.
• Generate procurement-related reports, including compliance alerts and requisition logs, to support strategic decision-making.
• Maintain a centralized database of approved contractors and vendors, ensuring accurate records for all trades and regions.
• Coordinate vendor performance evaluations, escalating concerns or improvement opportunities to leadership.
• Provide administrative support by managing shared inboxes, routing vendor inquiries, and handling department mail.
• Collaborate with sourcing teams to address service gaps and expand supplier coverage as needed.
• Ensure efficient communication and documentation processes to support vendor management and procurement operations.
Requirements • At least 5 years of experience in vendor coordination, procurement operations, or supplier management within a real estate, construction, or asset management environment.
• Proficiency in vendor onboarding processes, compliance standards, and procurement workflows.
• Hands-on experience with enterprise platforms such as Ivalua and Yardi is strongly preferred.
• Familiarity with IRS W-9 forms and vendor compliance requirements.
• Strong organizational skills and attention to detail, with the ability to manage multiple priorities effectively.
• Excellent communication skills to collaborate with internal teams and external vendors.
• Experience generating reports and maintaining audit-ready documentation.
