Administrative Coordinator

The administrative coordinator for the Belmont Data & AI Collaborative works with various stakeholders across the university and community, supporting the day to day work of the center. This administrative position coordinates center purchases through the Belmont Purchasing System, ensuring delivery, invoice payment and budget allocation. Serves as a first point-of-contact for students and visitors (by phone and in person), provides office production assistance, scheduling, and information to faculty, staff, students and general public related to the Belmont Data & AI Collaborative.

Primary responsibilities:

Coordinates and schedules activities related to the the Data & AI Collaborative. This includes calendar management for the Director and Executive Director, event scheduling and coordination, and serving as liaison with other units on campus.Provides professional office support for all members of the Data & AI Collaborative, including the distribution of incoming mail, manage and order office supplies, manage travel arrangements, address employees’ and clients’ queries (via email, phone or in-person), preparing presentations, spreadsheets and reports, and updating office policies as needed.Coordinate departmental purchases through the Belmont Purchasing System, ensuring delivery, invoice payment and budget allocation.Serves as a first point-of-contact for students and visitors (by phone and in person). Likewise provides information to faculty, staff, students and general public related to Belmont University and Data & AI Collaborative procedures and general operations.Oversees department web site and ensures updates are done in a timely manner.The above statements describe the job’s essential responsibilities and requirements.  They are not an exhaustive list of the duties that may be assigned to job incumbents.
