Position Summary:

Florida Atlantic University is seeking an Administrative Assistant for The John Scott Dailey Florida Institute of Government - Boca Raton, FL.

The Institute’s primary mission is to forge closer government-university ties to address the needs of state, regional, and local governments and non-profit agencies. The IOG meets the needs of its constituents by coordinating training workshops for all levels of local government employees, technical assistance services, and policy conferences, seminars, and training workshops focusing on issues of public sector interest or concern.

Summary of Responsibilities:

Maintain fiscal oversight of IOG operations, including preparing purchase orders, processing invoices, credit card transactions, checks, deposits, and reconciling revenues and expenditures.

Assist with the coordination of the four levels of Florida Association of Code Enforcement (FACE) certification programs, including proctoring and managing exam results.

Support the Director with clerical tasks and occasional travel to training sites in their absence.

Coordinate logistics for on-site trainings and technical assistance requests, including records management, ordering supplies, and providing on-site support when needed.

Build and maintain strong relationships with community partners to expand training opportunities and promote IOG services.

Deliver excellent customer service by interacting daily with state and local government clients, using independent judgment to resolve issues.

Provide administrative support for IOG programs, including managing registrations, preparing attendance rosters, certificates of completion, evaluations, and collating course materials.

Maintain and update the IOG Access database.

Use QuickBooks for invoice management and general accounting functions.

Performs essential duties which will require occasional local travel.

Perform other job-related duties as assigned.

Minimum Qualifications:

High school diploma with 5 years of appropriate administrative experience required.



Preferred Qualifications and Skills:
• Bachelor’s degree with at least 4 years of relevant experience.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Workday, Canva, and QuickBooks.
• Exceptional organizational skills and ability to manage multiple projects independently.
• Excellent communication and customer service skills, essential to representing FAU and advancing the mission of the Institute of Government.

Salary:

$55,000 - $57,000 Annual salary.
