The Administrative Assistant performs basic clerical, administrative and general office activities to support the facilitation of administrative workflow within the team. This position will support Supply Chain Management at the Torrance Distribution Center. This role is responsible for coordinating equipment moves, storage, and disposals across all CSMC departments, including off-site locations.
Primary Duties and Responsibilities
Coordinates new capital equipment deliveries from Torrance to the destination. As well as coordinating used equipment and furniture transfers, disposals, and storage. Ensures full compliance with CSMC, FPDC, and Property Management guidelines due to site restrictions and patient safety protocols. Communicates with vendor, end user via e-mail and phone. Answer questions, provide solutions and accommodate requester needs. Schedule big moving projects such as office clear outs, lab moves, renovation updates, etc. Participate in team meetings and brainstorm moving ideas. This position is the main contact between the departments and the movers.Takes inventory of electronic waste before scheduling vendor pick-up. Submits log sheet to recycling company. Removing and reporting asset tags from disposed equipment to CSMC Finance.Takes inventory and keeps track of what comes in and out from inventory. Contact vendors for vehicles repair and building repairs (plumbing, air conditioning, electrical, and anything that needs repairs. Contacts trash company to schedule pick-ups for the large roll-off dumpster containers. Placing and verifying orders in Oracle, following up on purchase orders, and verifies in Oracle if the invoices got paid. Monitor invoice status and submitting documentation to Accounts Payable in a timely manner.Maintaining vendor files alphabetically, move request by job# and moving company invoices. Open mail and distribute to appropriate individuals, answer calls, respond to emails, preparing internal correspondence, reports, and spreadsheets.Taking minutes and preparing related documentation. Identify and respond appropriately to both internal and external customer needs utilizing available resources.Qualifications
