Job Description
About Your Role
Based at our High Wycombe site, you'll be a pivotal Administrative Assistant providing comprehensive support to our Operations Manager, Sales Department, and other key members of the Senior Management Team for ID Solutions across Europe, the Middle East, and Africa. This is a dynamic role where your organizational prowess and proactive approach will be essential to keeping our operations running smoothly and efficiently.
Your Responsibilities Will Include:
Executive & Team Support: Provide proactive administrative assistance to the Leadership Team (LT), Sales Team, and Operations, as well as other team members.
Meeting & Event Coordination: Expertly coordinate and manage all LT, Sales Team, Quarterly Business Review meetings, and Quarterly Town Halls. This includes handling invitations, agendas, action item follow-ups, liaising with customer secretaries, and arranging all logistics (travel, venue, equipment, catering, etc.) for conferences and training programs.
Facility Management (High Wycombe): Oversee trades and suppliers for the High Wycombe facility, coordinating with suppliers to arrange necessary activities and maintenance works on site.
Exhibition & Convention Logistics: Coordinate our presence at various exhibitions and conventions throughout the year across Europe.
Performance Monitoring: Monitor key performance indicators (KPIs) and sales pipelines, diligently updating scorecards.
HR & Expense Management: Process holiday requests, sick forms, and monthly expense reports as needed.
Corporate Hospitality: Manage all aspects of corporate hospitality events, including invitations and venue liaison.
Travel Arrangements: Manage complex travel arrangements for the Leadership Team, including flights and hotel bookings, and assist with general travel as required.
Onboarding Coordination: Create comprehensive onboarding schedules for new joiners, collaborating with hiring managers.
Mail Management: Handle the opening, scanning, and distribution of physical mail via email.
Site Initiatives: Support Health and Safety initiatives within the High Wycombe facility, as well as local Diversity, Equity, and Inclusion (DE&I) and Corporate Charity initiatives.
Qualifications
What We Will Be Looking For In You:
Experience: A minimum of 3 years of administrative experience, with a significant portion supporting senior management within a commercial business environment.
Technical Proficiency: Highly proficient with Google Suite/Microsoft Office Suite, capable of creating high-standard reports and presentations in Word, Excel, and PowerPoint. You must be adept at manipulating data in Excel, including the use of formulae. Experience with Google Mail and Google Docs is a plus.
Professional Acumen: A professional demeanor and presentation, enabling you to interact confidently and credibly with senior management, team members, and external customers. You must maintain strict confidentiality.
Exceptional Organization: Excellent administrative and organizational skills, with the ability to effectively multi-task and manage several different activities simultaneously.
Results-Oriented: Detail-oriented, accurate, and thorough, with a strong commitment to achieving objectives on time, prioritizing tasks, and consistently meeting deadlines.
Numerate: Highly numerate, comfortable working with data and figures.
Self-Motivated & Resilient: Self-motivated and capable of working effectively without close supervision, thriving under pressure while maintaining priorities and meeting deadlines.
Communication Skills: Strong written and verbal communication skills; articulate and fluent in both forms.
Relationship Building: Excellent relationship-building skills, able to establish connections across all departments and influence commercial teams to adopt desired behaviors or attitudes when necessary.
