Your ‘day to day’:

As an Administrative Assistant, you will provide secretarial and administrative support to the Function Head/Director(s), ensuring efficient coordination of travel and visitor arrangements, managing schedules and meetings and handling file management. Additionally, you will play a role in supporting departmental activities, including organizing internal events and assisting with reporting and documentation.

 

 

Your responsibilities:

- General secretarial tasks: proceed with scheduling supports for the Function Head/ Director(s); prepare documents e.g. memos, letters, standard reports as needed; prepare expense statements, help prepare corporate membership registration and renewals (credit card, club membership, etc.).
- Travel and visitor arrangements: arrange local and international travel arrangements for the Function Head/ Director(s) and coordinate the pre-planning of trips including securing appropriate visas (if needed), agenda, travel notices, hotel accommodation & pick-up; assist logistics for PMI visitors; when needed, coordinate with affiliates secretaries/admin assistants for centralized arrangements (e.g. affiliate conferences, locally hosted regional meetings, etc.).
- Departmental activities support: organize departmental meetings and manage related logistics, ensuring timely processing of associated invoices; coordinate support from relevant functions based on the meeting’s purpose and participants’ needs; when necessary, prepare and share clear communications with all attendees to ensure smooth execution of the meeting.
- External vendors Coordination: manage relationships with third-party providers by maintaining regular contact, coordinating any necessary corrective actions and resolving issues in line with established procedures to meet business requirements.

 


Who we’re looking for:
- Bachelor’s or Master’s degree in a relevant field.
- Proven experience in an Administrative Assistant or similar support role.
- Strong customer orientation and ability to interact effectively with diverse stakeholders.
- Excellent problem-solving abilities, a collaborative mindset and strong time management skills.
- High level of discretion and ability to handle confidential information with professionalism.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Fluency in both Italian and English (written and spoken) is mandatory for this position.


Work location: Rome HQ.
