Job Description:

Baptist Health Medical Group (BHMG) is a comprehensive network that includes over 1,100 physicians and advanced practice clinicians across Kentucky and Indiana.  They represent over 75 specialties including primary care and family medicine, internal medicine, osteopathic medicine, emergency medicine, general surgery and a wide range of surgical specialties offering advanced treatments and care.

 

The Administrative Assistant III is a remote position that provides administrative and clerical support for the VP, Physician Alignment, VP, Human Resources, and Quality Medical Director. This position requires strict attention to details, high accuracy level, ability to multi-task, ability to work with time-sensitive deadlines, and work in a team environment.  Must be pro-active in approach to all position responsibilities. 

Principal Duties & Responsibilities:

Coordinates and maintains daily office routines and paperwork for the Executives assigned to.Ensures calls/messages or high priority information are communicated appropriately.Composes, transcribes, proofs, and/or edits letters, memos, and various documents in a timely and accurate manner.Schedules, distributes notices, attends, takes and maintains minutes for important meetings as required.Make arrangements for programs, conventions and seminars that may include travel arrangements, hotel or meeting accommodations, registration, and itineraries.Organizes and maintains file systems for correspondence and other records.Update contact lists and directory lists as needed. Prepares outgoing mail and correspondence, including email and faxes.  Greets visitors and employees, assisting and directing if necessary.Assists in coordinating special events such as meetings, employee events, etc.Keeps expense records and creates spreadsheets for productivity data.Keep invoices and route for signature-submit for payment.Provides coverage for other Administrative Support Assistants in their absence.Travel to and from local Baptist Health entities for meetings occasionallyProcess and reconcile Executive(s) credit card receipts

Minimum Education, Training and Experience Required:

High School Diploma or Equivalent required. Associates degree in secretarial studies strongly preferred.3+ years administrative or clerical experience required. (Email, Scheduling Appointments, Managing Calendars, Filing, Organizing, Coordinating)Must be able to work in team environment and work autonomously.Must be able to Multitask and do so in different environments.Ability to type 50 wpm or better preferred. Working knowledge of Microsoft Office software is required.
