Note: Work schedule for this position will be Monday through Friday, 8:00 a.m. to 5:00 p.m. M ay be required to work occasional evenings and weekends to meet department needs. Occasional travel may be required. While the travel will typically be local/regional, such as other ACC campuses or CCCS institutions, there may be some minimal travel beyond those locations.

Description of Job
This position manages transfer procedures and administrative tasks to support student access to 4-year institutions. It provides backup advising support and supervises front-desk work-study staff. The role includes student outreach and communication about academic and transfer opportunities. It coordinates with 4-year institutions for recruitment, event planning, and campus visits. Fiscal responsibilities include event budgeting, purchasing, and maintaining records in collaboration with Fiscal Services.
This position provides customer service at the front desk by assessing student needs and directing them to appropriate resources. Manages daily operations related to transfer services and facilitates connections to 4-year institutions and campus departments. Responds to inquiries from students, staff, and transfer partners via email and supports the advisor assignment process and related documentation. Coordinates scheduling through Navigate360 for multiple departments, including Advising, Transfer, Career Services, and Disability Access. Collaborates with staff to develop, revise, and implement front desk procedures to enhance the student experience. Utilizes platforms such as Navigate360, Banner 9, and DegreeCheck to deliver accurate information. Maintains organized and updated files & supports the front desk during peak periods.
Manages student and partner communications through the transfer mailbox to ensure timely, accurate correspondence. Oversees the ACC Transfer Visit Calendar, scheduling 4-year university visits and coordinating event logistics. Collaborates with Marketing Services and the department supervisor to update the transfer website, post events, and maintain a social media presence within ACC branding guidelines. Supports planning and execution of transfer events, including logistics, marketing, and participant communication. Develops marketing strategies and coordinates Save the Date notices with partner institutions. Track event participation by pulling and organizing data reports throughout the academic year. Serves as purchasing authority for transfer-related events, managing budgets, completing required forms, and maintaining organized fiscal records.
Responsible for the hiring, training, and supervision of front desk student work-study staff. Develops training opportunities for front desk student work-study staff that ensures operational cohesion and promotes positive customer experiences. Facilitates training as necessary. Communicates operational procedures to Advising & Transfer Services staff as necessary. Oversees document processing and imaging for Department. Develop and document related procedures, and trains student staff as necessary.

MINIMUM QUALIFICATIONS:
Experience Only:
Three (3) years of general office or clerical experience, including at least one (1) year of experience assisting with tracking expenditures or managing a portion of a department budget. This could include tasks like making purchases, keeping records of expenses, preparing reports, or helping with travel or event planning while staying within a set budget. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position.Do not use "see resume" statements in your application.Your application must be completed in detail, showing relevant experience in order to be considered. Part time experience will be prorated.

Education and Experience:
College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis. However, there is no substitution for the required experience in tracking spending or managing a portion of a department budget. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). Ability to handle multiple tasks simultaneously while meeting targeted deadlines. Experience with problem solving processes. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Prior work experience at a community college or other academic environment. Ability to deal with a diverse population with discretion and tact.
