About the role

The Accounting-Tax Assistant supports the Tax and Accounting teams by handling clerical and administrative tasks such as retrieving incoming mail, sorting and delivering as needed, scanning supporting documents, and sending/receiving checks. The position plays a key role in supporting the Tax and Accounting departments of the organization, handling a variety of administrative and support duties. The volume of scanning and printing is high – approximately 6000 business licenses, 6800 property tax items, and 1200 sales tax items annually.

Responsibilities

Print tax checks and match to correct tax bills, returns, notices, or license applications, and take to Office Services for mailing.

Organize property tax returns received by mail, obtain signatures, print tax returns from tax software and mail required support to taxing authorities.

Coordinate with managed services provider as needed to ensure timely mailing of tax returns and bill payments. 

Complete monthly review and reconciliation of tax department credit card transactions. 

Open, sort, and distribute the mail for Tax, Accounts Receivable, and Accounts Payable departments. 

Scan incoming Accounts Payable checks and invoices, email scanned documents to AP email.

Print Accounts Payable checks and deliver to Office Services. Ensure printers have the correct check stock at the time of printing.

Review checks returned to AR, locate client in AR system and update any customer information if needed. If customer can’t be located, notify AP to void/cancel the refund request and notate the customer account. If address change was required, notify AP to void request and resend new one.

Complete affidavit requests for lost checks, have it notarized and send supporting documentation back to customer as requested.

Ensure incoming Accounts Receivable checks are for a Full-Service customer account. Deposit these payments via virtual app.

 

Knowledge, skills & abilities requirements

1-3 years of Accounting and/or Tax experienceHigh school diploma

Proficient in Microsoft Office Suite

Working conditions & physical requirements

This will be a hybrid role required to be onsite at the Corporate office on specified days. The work environment generally involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lighted, heated, and ventilated.

The work is sedentary; however, occasional travel to company locations may be required. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, files, books, small parts; using a keyboard, driving an automobile, etc. No special physical demands are required to perform the work.
