Job Summary
Key Responsibilities• Manage complex calendars for multiple trauma surgeons, including scheduling meetings, surgeries, and travel.
• Coordinate logistics for conferences, CME activities, and departmental events.
• Serve as a liaison between physicians, patients, and internal departments.
• Maintain accurate records, prepare reports, and assist with data management.
• Order supplies, troubleshoot IT issues, and coordinate equipment maintenance.
• Support billing, registration, and scheduling systems as a super-user.
• Handle sensitive communications with professionalism and discretion.
Ideal Candidate
• Prior experience as an executive or administrative assistant in a healthcare setting.
• Strong communication skills.
• Highly organized, detail-oriented, and able to multitask under pressure.
• Proficient in Microsoft Office and data reporting tools.
• Calm and confident in resolving conflicts and clarifying discrepancies.
Qualifications
Education
High School Diploma or Equivalent required.
College education preferred.

Administrative Assistant or Secretarial Experience 2-3 years required, preferably within a healthcare setting
Knowledge, Skills & Abilities
Proficiency with office procedures and equipment i.e. filing, copying, scanning, printing and faxing.
Proficiency in MS Office.
Ability to proofread and edit written documents.
Ability to use phone system.
Managing one's own time and the time of others.
Strong verbal & written communication skills.

Ability to use standard office equipment.
Familiarity with medical terminology.
