Administrative Assistant II
Position OverviewKeep our communities fed.

As an Administrative Assistant, you will support the team by tracking departmental projects and serving as a liaison between employees, other departments, and vendors. In this role, you’ll provide daily administrative support to the Department Manager and broader team, managing schedules and assisting with preparation for meetings. You will also assist the Engineering and Maintenance department with a variety of clerical, administrative, and technical functions.

Job Description

Part Time, On-Site Role

Location: 2215 Union Ave., Sheboygan, WI 53081

Schedule: Monday-Wednesday, 7:30am-4:30pm & Thursday, 7:30am-12:00pm

You will contribute by:

Tracking projects daily, including developing and maintaining project plans, budgets, and staffing needs

Monitoring progress and identifying/resolving obstacles; recommending updates to the project plan based on progress

Managing the department calendar

Ensuring the team is prepared for all scheduled meetings, including preparing materials, creating presentations, and coordinating participation to ensure efficiency

Composing letters, spreadsheets, and PowerPoint presentations

Creating and maintaining filing systems

Managing general administrative tasks (filing, photocopying, mail, faxing, etc.)

Answering phones and taking accurate messages

Tracking department invoices and expenses

Receiving and logging incoming service requests

Dispatching vendors and scheduling vendor and supplier meetings

Preparing, maintaining, and distributing service contracts

Creating, filing, and tracking purchase orders

Processing department work orders, timesheets, and vendor invoices

Supporting resolution of billing issues and managing vendor setup paperwork

Providing excellent customer service and interfacing with internal and external contacts on routine matters

Performing other duties and special projects as assigned

We’re looking for candidates with:

Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel

High standards of integrity and reliability; the ability to maintain strict confidentiality is essential

2-5 years of relevant experience, preferably supporting senior-level executives or multiple leaders

Environment:

Office : Office Temperature (65F to 75F)
