Allied Universal® is hiring an Administrative Assistant in Cambridge, Ma. The Administrative Assistant is a dynamic and self-motivated individual able to provide administrative support and coordination to the Head of Global Security for a high profile customer. In addition, the Administrative Assistant will also provide support for other members of the Global Security team and participate in the organization of large site level activities with other administrative and operations staff.
Hourly pay rate $30.00
Ideal candidate will possess the following:
2–7 years of administrative experience, including direct support to C-Suite executives
Proven expertise in Microsoft PowerPoint (required)
Prior experience managing or tracking budgets
Strong time-management skills and the ability to multitask
Excellent written and verbal communication skills
RESPONSIBILITIES:
Build strong working relationship with the Head of Global Security, and leadership team by organizing efficient communication and following up with deadlines and pertinent informationProvide administrative support, including calendar management (scheduling, prioritizing, resolving conflicts, etc.), coordination of team meetings, expense management, travel, arrangement, event management of internal department eventsProactively handle complex and often ambiguous issues; understands priorities and makes responsible decisions with limited information; accomplishes tasks independently; capable of providing technical guidance to others; may need to coach and provide support to the work of other administrative staff within the functionBuild strong working relationships with administrative and operations staff at Allied Universal’s corporate office by organizing efficient communication and following up with deadlines and pertinent information, offering support to the other admins as neededMaintain working knowledge of relevant customer policies and proceduresEstablish rapport with key stakeholders to enable effective management of strategic projectsMaintain group and/or company document and knowledge repositories, websites, and business systems (e.g., SharePoint, Synapse), as needed; expedite flow of work items and initiate follow-up when necessaryLarge-scale meeting support including logistics coordination (secure room, A/V support, catering etc.), pre-event material preparation, day-of meeting set up, contract/payment processing as needed, management of minutes and other related activities; oversight of coordination process when using resourcesQUALIFICATIONS (MUST HAVE):
High school diploma or equivalentMinimum of seven (7) years of administrative/office experienceMinimum of seven (7) years of education/work experience consistently utilizing MS Office (Word, Excel, Power Point, Outlook) and/or Google WorkspaceProfessional oral and written interpersonal communication skillsEfficient time management skillsStrong attention to detailExceptional customer service skillsAble to multitask in a dynamic environment with varying demands for priorityExceptional organization skillsPREFERRED QUALIFICATIONS (NICE TO HAVE):
