Administrative Assistant
Description We are looking for an Administrative Assistant to join our client's team on a contract basis in Cincinnati, Ohio. This role serves as the first point of contact for visitors and callers, ensuring every interaction reflects attentiveness and warmth. In addition to front desk responsibilities, the position provides critical administrative support to various departments, contributing to seamless operations and a welcoming office environment. Responsibilities: • Greet and assist visitors, clients, and team members with a friendly and detail-oriented demeanor. • Answer and direct incoming calls, ensuring prompt and accurate communication. • Manage meeting room schedules, prepare spaces, and oversee logistical arrangements. • Maintain reception and conference areas in a clean and organized state, adding personalized touches to enhance the environment. • Sort and distribute mail, manage incoming deliveries, and ensure timely processing. • Order and organize office and kitchen supplies, keeping common areas well-stocked and tidy. • Support onboarding processes by assisting with training logistics and compliance tracking. • Assist with scheduling interviews, managing calendars, and coordinating meetings. • Provide administrative support to the accounting team, including scanning invoices and tracking customer payments. • Collaborate with the multiple departments to maintain insurance documentation and compliance records. Requirements • Minimum of 2 years of experience in administrative or receptionist roles. • Strong proficiency in Microsoft Excel and Outlook for managing schedules and data. • Demonstrated ability to handle inbound calls and direct them appropriately. • Experience in calendar management, scheduling meetings, and interviews. • Familiarity with onboarding processes and human resources support. • Excellent organizational skills and attention to detail. • Ability to multitask and prioritize responsibilities effectively. • Positive attitude and proactive approach to problem-solving.
