Description
We are hiring a Property Coordinator to assist with administrative and light accounting duties for a high-end building in Century City. This is a contract position to start but has potential to extend for the right candidate. As the Property Coordinator, you will support building operations, tenant relations, and light accounting tasks. Key responsibilities include:
Operational & Administrative Support:
• Coordinate with contractors, vendors, and tenants during the year-long lobby renovation project.
• Draft and distribute memos and updates regarding ongoing projects.
• Track and maintain tenant and vendor Certificates of Insurance (COI).
• Schedule and oversee freight elevator access for tenants and vendors as needed.
• Serve as back-up for the Tenant Service Coordinator by answering phones, delegating work orders, and maintaining the work order system.
• Provide reception and front desk coverage when required.
Accounting Support:
• Accounts Payable: Process and code invoices to budget categories and respond to vendor inquiries.
• Accounts Receivable: Generate monthly tenant rent invoices, apply and reconcile daily cash receipts, and perform monthly reconciliations for variance reporting.
• Allocate revenue and expenses accurately based on property budgets and income statement categories.
• Assist with variance analysis and other financial reporting needs.
• Maintain familiarity with tenant leases to ensure proper billing and charge allocations.
Qualifications
• Professional demeanor and ability to thrive in a high-profile corporate environment.
• Articulate communicator capable of interacting with tenants from law firms, financial institutions, and other professional organizations.
• Bright, ambitious individual with a willingness to learn and adapt to new systems, including basic accounting functions.
• Familiarity with AVID and/or YARDI accounting systems (preferred but not required – training provided).
• General understanding of tenant relations and building operations.
This is a fully onsite role in Century City, Monday – Friday from 8-5PM. This is an ongoing temporary position with potential to become permanent for the right candidate. Pay is based on experience, between $25-30/hr.
Requirements • Previous experience in administrative support roles, preferably within a fast-paced environment.
• Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
• Excellent communication skills, both written and verbal, for dealing with tenants, vendors, and contractors.
• Proficiency in data entry and office management software.
• Familiarity with property management systems such as Avid or Yardi is a plus.
• Ability to be mobile and present on-site to address operational needs.
• Knowledge of commercial property accounting processes and lease administration is preferred.
