Description
We are looking for a skilled and bilingual Administrative Assistant to join our team in Hayward, California. This Contract-to-permanent position requires someone who excels in managing office operations, coordinating schedules, and providing exceptional communication support. The ideal candidate will be fluent in Spanish and possess strong organizational and multitasking abilities.
Administrative Assistant Responsibilities:
• Maintain office supplies and equipment, ensuring an organized and efficient workspace.
• Oversee filing systems, both digital and physical, to ensure all records are easily accessible.
• Screen phone calls, relay messages, and manage correspondence with clients and team members.
• Coordinate meetings, appointments, and travel arrangements, including logistics and accommodations.
• Prepare and edit documents such as reports, presentations, contracts, and invoices.
• Manage executive calendars, prioritizing tasks and appointments effectively.
• Input and maintain accurate data in systems, ensuring confidentiality and security of information.
• Organize and support meetings and events, including preparing agendas and taking minutes.
• Provide excellent customer service by greeting visitors, handling inquiries, and assisting with client communications.
• Collaborate with colleagues and departments to ensure smooth workflow and provide backup support when needed.

Requirements • Proven experience in administrative roles, showcasing strong organizational and multitasking skills.
• Fluency in Spanish, with the ability to handle translation and communication tasks.
• Proficiency in office software such as Microsoft Office Suite and data entry tools.
• Exceptional communication skills, both written and verbal, to interact with clients, colleagues, and external parties.
• Ability to manage schedules, coordinate appointments, and handle travel arrangements efficiently.
• Attention to detail and accuracy in preparing and managing documents.
• Discretion in handling sensitive and confidential information.
