Administrative Assistant
Description We are looking for an Administrative Assistant to provide comprehensive support to governing bodies, committees, and other organizational functions. This long-term contract position is based in Oakland, California, and requires a combination of on-site and remote work. The ideal candidate will have experience with public meetings, including familiarity with The Brown Act, as well as proficiency in entry-level administrative tasks such as scheduling and coordination. Responsibilities: • Provide administrative support to governing bodies, boards, committees, and ad-hoc meetings, ensuring smooth operations. • Coordinate public hearing processes, including preparing agenda packets, publishing notices, recording proceedings, and drafting minutes. • Ensure compliance with legislative and regulatory requirements during board and committee meetings. • Conduct thorough research and analysis to support organizational projects, programs, and activities. • Manage calendars by scheduling meetings, organizing events, and resolving conflicts in schedules. • Prepare high-quality documents such as presentations, reports, agendas, and special projects using Word, Excel, and PowerPoint. • Maintain records systems and databases, ensuring data integrity and adherence to retention policies. • Respond to operational and administrative inquiries, identifying and resolving issues as needed. • Oversee food orders and meeting room arrangements to support organizational events and functions. • Support inbound and outbound communication, including answering calls and managing email correspondence. Requirements • At least 3 years of experience in administrative or clerical roles. • Knowledge of The Brown Act and experience with public meetings. • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Strong organizational skills with the ability to manage schedules and prioritize tasks effectively. • Familiarity with data entry and maintaining records systems. • Excellent customer service and interpersonal skills. • Ability to communicate professionally via email and phone. • Experience working with government agencies or programs is a plus.
