We are looking for a detail-oriented and bilingual in Spanish Administrative Assistant to join our team in Hayward, California. This Contract to permanent position requires someone who can efficiently manage office operations, provide administrative support, and ensure seamless communication within the organization. Administrative Assistant Responsibilities:
• Maintain and organize office supplies, equipment, and filing systems, ensuring both physical and digital records are up-to-date.
• Screen incoming calls, manage messages, and facilitate communication between internal and external stakeholders.
• Coordinate and schedule meetings, appointments, and travel arrangements, while managing executive calendars.
• Prepare, proofread, and distribute documents, including reports, presentations, and contracts.
• Accurately input and update data in computer systems, handle payroll data entry, and process administrative paperwork.
• Organize meeting and event logistics, from preparing agendas to managing room setups and catering needs.
• Assist with financial administration tasks, including budgeting, expense tracking, and invoice preparation.
• Provide excellent customer service by greeting visitors, addressing inquiries, and supporting client relations.
• Collaborate with team members to ensure smooth workflows and offer backup support when needed.
• Train new staff members and assist with onboarding processes to facilitate team integration.

Requirements • Proven experience in administrative assistance or office management roles.
• Proficiency in data entry and maintaining accurate records.
• Strong bilingual skills in Spanish and English, with the ability to translate and communicate effectively.
• Excellent organizational and time management skills.
• Ability to handle confidential information with discretion and professionalism.
• Proficiency in using office software, including word processing, spreadsheets, and email.
• Strong customer service skills and the ability to interact professionally with clients and colleagues.
