Position Summary:
The Administrative Assistant provides comprehensive clerical and administrative support to ensure efficient daily operations within the department. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while maintaining a high level of professionalism and confidentiality.
Key Responsibilities:
+ Answer, screen, and direct phone calls; respond to inquiries in a timely and professional manner.
+ Manage calendars, schedule meetings, and coordinate appointments for department staff.
+ Prepare, proofread, and distribute correspondence, reports, memos, and other documents.
+ Maintain accurate and organized filing systems, both electronic and physical.
+ Coordinate travel arrangements, including itineraries, accommodations, and transportation as needed.
+ Assist in planning and organizing meetings, conferences, and events, including preparing materials and recording minutes.
+ Track and order office supplies; maintain inventory to support operational needs.
+ Compile and enter data into databases and spreadsheets; generate reports as requested.
+ Maintain confidential personnel and departmental records in accordance with company policies.
+ Ensure timely submission and processing of forms, invoices, and expense reports.
+ Foster positive relationships by providing clear, courteous, and timely communication.
+ Relay messages and follow up to ensure requests are addressed promptly.
+ Other duties, responsibilities, and activities, as assigned by management.
+ Requires occasional physical activity throughout shift (except breaks and lunch) such as walking, sitting, standing, bending, stooping, squatting, reaching, handling, near/far vision, pushing, pulling, carrying, and lifting objects weighing up to 50 lbs.

Qualifications:
+ High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
+ 3-5 years of administrative or clerical experience preferred.
+ Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
