Professional Support:
• Handle duties including answering of phones, scheduling meetings, and coordinating appointments in the absence of the Executive Assistant to the Chairman and CEO
• Handle email correspondence and phone communication professionally
• Coordinate travel arrangements and itineraries
• Oversee, track and organize expenses, invoices, and reimbursements
• Make purchases as directed
• Support with project coordination and deadline tracking
• Maintain organized digital and physical filing systems
Personal Support:
• Coordinate personal appointments, events, and household logistics
• Book reservations for vendors, family and friends as requested
• Assist in managing credit card issues
• Manage product returns and tracking
• Assist in planning family events (birthdays, dinners, etc…)
• Research various family focused interests (i.e. training, etc…)
• Manage shopping, errands, and occasional vendor communications
• Assist with family-related tasks, including scheduling and communication
• Handle confidential documents and sensitive information with discretion
• Monitor and manage personal and household calendars
Key Qualifications:
• Proven experience in an administrative or executive assistant role (3+ years preferred)
• Exceptional organizational skills and meticulous attention to detail
• Must be collaborative and work well in a team environment
• High level of discretion and ability to handle confidential information
• Excellent written and verbal communication skills
• Ability to prioritize and manage multiple tasks independently
• Tech-savvy: proficient in Microsoft Office, Google Workspace, and calendar tools
• Strong interpersonal skills and a proactive, can-do attitude
• Flexibility to adapt to changing priorities and needs
