Administrative Assistant

The Emergency, Medicine and Critical Care Program at the Juravinski Hospital site includes the following clinical service areas; Juravinski Hospital Emergency Department, Medicine units E3, F3, F5, SSMU and Critical Care, ICU level 0, ICU level 1 and B3 CCU. The programs units and services are aimed to provide the Best Care for All, starting with the access to services in the Emergency departments through admission to our inpatient areas.

Provides administrative support to the Program Director. This role also includes supporting the JH Site Capital Contingency Committee and the Joint Health and Safety Committee. The Administrative Assistant has the ability to exercise good judgment in a variety of situations, maintain confidences while balancing multiple priorities including managing calendars, coordinating meetings/events, preparing various meeting materials and documents, attending meetings and recording meetings, monitoring action items and developing related reports. The Administrative Assistant serves as a central liaison for the Program Director. The role is integral to providing information and clear communication relative to services, staff, projects and issues within the program. Coordination of activities and projects related to the program and respective deadlines. The role requires excellent communication skills to effectively collaborate with directors, senior leaders, interprofessional practice chiefs, clinical managers, physicians, staff, health care providers, other administrative assistants, and various external stakeholders. Ensuring strict confidentiality is to be maintained at all times.

1. Graduate of Community College Business Office Administration program or equivalent
2. Minimum 3 -5 years experience supporting senior level management preferably in a healthcare environment
3. Strong administrative and organizational background, ability to prioritize, multi task, schedule and carry out tasks with strong attention to detail, strong organization and time management skills
4. Demonstrated excellence in effective communication within a professional environment (written and verbal) and interpersonal skills, with expertise in agenda and minute taking skills
5. Proficient software and computer skills in MS Word, MS PowerPoint, MS Access, MS Excel, and Outlook. Knowledge of Kronos, including Recruitment and Payroll, Taleo, Axiom, management information tool, and Eway ordering.
6. Proficient keyboarding skills
7. Effective and creative problem solving and analytical skills
8. Team player with strong sense of ownership and accountability; ability to work independently using own initiative, organize and establish priorities
9. Demonstrated ability to develop systems that create efficient work flow
10. Demonstrated commitment to the HHS vision and continuous quality improvement
11. Demonstrated understanding of the corporate context and ability to make suggestions and create systems which will assist the program within this context
12. Demonstrated interested in new learning
