Administrative Assistant
Description We are looking for a dedicated and detail-oriented Office Manager to join our team in Denver, Colorado. This position involves overseeing daily operations, coordinating administrative tasks, and ensuring a smooth and organized office environment. As a long-term contract role, it offers an opportunity to contribute meaningfully to the team while supporting the organization’s goals. Responsibilities: • Welcome guests, vendors, and team members with professionalism and foster a culture of hospitality. • Process reimbursements, payables, and credit card transactions accurately using QuickBooks while ensuring compliance. • Oversee centralized purchasing for various departments, utilizing Amazon Business and other approved vendors. • Manage internal work orders and vendor service requests, ensuring timely resolution and proactive follow-ups. • Maintain inventory of supplies and equipment, ensuring their proper tracking, functionality, and scheduling. • Use independent judgment to prioritize tasks, resolve operational issues, and enhance office systems and procedures. • Organize and schedule meetings, prepare meeting rooms, coordinate office events, and assist with onsite logistics. • Handle mail processing and perform routine errands such as visiting the post office and delivering items as needed. • Ensure facilities are clean, organized, and stocked with necessary supplies, snacks, and beverages. • Coordinate gift-giving efforts for team members and special occasions with thoughtful attention to detail. Requirements • Proven experience in administrative office management or a related role. • Proficiency in QuickBooks for processing financial transactions and maintaining compliance. • Strong organizational skills for managing inventory and office supplies. • Ability to handle receptionist duties, including welcoming guests and managing communications. • Knowledge of accounts payable processes and centralized purchasing systems. • Excellent problem-solving abilities and independent judgment in task prioritization. • Effective communication skills and a positive, team-oriented attitude. • Capability to perform logistical tasks, including mail processing and event coordination.
